Workbook Template

Hello,

I am using BI 7.0 version.

I created a Workbook Template and I would like to use this workbook for all my bi users as default . what i did I saved this workbook and assing this workbook ID to all my BI users so that when they execute any Query it will use default.

Under global setting under "Select Default Workbook" I selected "Use Default"

When I execute my query the default workbook is not showing

If anybody faced the same problem please share your thoughts.

You're supposed to click on "use current" while checking "global default workbook" option.

"use current" option was disabled some reason only two options are enable "Use Default" and "Use SAP Standard"

Good for you 😃

By the way, you need to have the workbook you want to use as default opened before you do the step I mentioned, hence it'll "use current" workbook as the global default.

How can we make default workbook when we open ?

Here is complete list of events:

1. Open any query in Analyzer (doesn't matter which query, this will be ignored once your template is set), which will open the query using the standard SAP template

2. Customize the template as you see fit

3. Save this as a workbook

4. Now the "use current" button should be enabled. Check the "Global Default Workbook" and click "Use Current", hit OK.

5. Opening any queries in the future will invoke the use of the template you saved.

If you want to change for the format of existing workbooks, then this won't help. I don't think it's possible.

We have to save this workbook on a server right?

Also, I would like to attach company logo do you know how to do this?

Yes, a BEx workbook. Make sure you transport this to Q and P then do the step 4 manually in each environment.

In step 2, insert the logo from Excel's Insert > Picture > From File....

Then double-click on the picture, go to "Properties" tab, make sure "move but don't size with cells" or "don't move or size with cells" is selected. This prevents the logo from getting stretched when cells are dynamically changed at runtime.

Okay.

Also I am having doubt on Assigning Query and Workbook to role

1. Created a Query and published under Role(xyz)

2. Query Executed through Analyzer and saved as Workbook under same role(XYZ)

My question is why we need to publish query and workbook under role

Which is the best way to Assign Query and Workbook to User through role.

Why we need to assign Query to role?

Can we just assign Workbook to Role?

Yes, best practice is only assigning workbooks to roles. Regular users should not access queries (or other dataproviders) directly, and should only access data through workbooks.

Few more doubts

1. How the workbooks will be "Refreshed" When they open first time or it will refresh Automatic?

2. For example user executed workbook then he modified the workbook and saved under local directory when next time if he open the the local workbook, data will be refreshed ? or he hase to reconnect the workbook?

3. What is the difference if the user save the workbook in his favorites vs Local c:directory?

Wow I better get some massive points for this 😃

1. You can control this from "Workbook Settings" (last button on the 7.0 BEx tool bar), option called "Refresh Workbook on Open". It's off by default.

2. To refresh data, the user has to login to BW server.

3. No much. One saves it on the server, one on local drive.

Once the workbook assigned to role, I have to restrict the users they can't change the origonal workbook which is saved under role right ? how can we restrict ?

That's right. You should limit the ability to save workbooks in the roles to a selected few power users. Otherwise your roles will get messy pretty soon. Talk to your security guy. The BEx access config has options 1, 2, 3 etc., similar to ECC.

Okay

I am not sure when we design the Default Workbook Template what are the things we need to consider like Company Logo and what else?

What I did I put the company Logo Left top corner and using design Mode added query(Insert Analysis Gride),Filters(Insert Navigational Panel) when I use this workbook as a default I am getting logo but I am not getting Filter text,Query Description,Information,Chat...ect

When you run any query in Analyzer you will see all there as default....what is the reason its not showing

You're not getting Chart, Information, Filters, because you created a workbook from scratch. Only the SAP standard template has those things, which have embedded macros and everything. Best way is to customize the standard template and just insert your logo on top left. Right now you need to revert back to the standard template with the "Use SAP Standard" button, then following the steps I outlined before.

Okay.

I execute the query and generated a workbook and saved this workbook under Role(XYZ)

I am not seeing that workbook under that role

But when I going by T-code PFCG role name as XYZ , i can see that role

i also re-generated profile also still its not showing

what do we need to show this workbook under that role when user login to SAP BI under that role

Are you trying to do step 3? Save the workbook, you don't need to close it.

Not sure why you don't see it, make sure you use "Open Workbook..." instead of "Open Query..."

I can able to see by going Bex Analyzer>Open Workbook>Role-->Workbook Name

But When user Login to SAP --> User Menu >Role->It should show Workbook

Only workbooks under favorites will show up by default. If you want everything, your security team need to configure the Easy Access menu. You shouldn't give user SAP GUI access anyway. They should only access workbooks through Analyzer.

By going BEx Analyser>Open Query-> User Is having access to Infoarea,Role,Favorites,History

When he click the InfoArea he can access all querys but we not want to give access to querys how to restrict this option

A (competent) security person can remove the InfoArea button altogether. It's in the same BEx authorization object as mentioned before.

Sorry I've only seen it on the screen of our security guy. Try help.sap.com on BEx security or search for any whitepaper.

Also, I logged as a user, I am unable to open the workbook which i saved under role(xyz)

I am able to see the workbook but system giving this message

Error Message: "Unable to find the workbook on the server"

The propertise of workbook says as follows

1.No of change Accesses:2

2.No of read accessed:2

3.No of read-only access: 1
