Who Should Use Guided Implementation?
Guided Implementation is designed for project teams involved in SAP implementations. The application is designed for project managers, team members, and quality gate responsible who need an intuitive way to track and execute implementation tasks efficiently.
Guided Implementation is accessible to various project management roles within SAP Cloud ALM, including:
- Project Lead – Manages project setup, tasks, and timelines.
- Project Member – Works on assigned tasks within the project.
- Quality Gate Responsible – Oversees quality gates and checklists.
If you already have access to Projects and Task Management application and have relevant project roles assigned, then you can start using the Guided Implementation application for your projects.
If you are the first-time user, then you can request the Project Lead to assign relevant project roles so that you can see the tasks relevant for you. In addition, Project Lead can create new project and work on the setting up the project for the team members.
Note: The application only displays tasks assigned to your role or directly to you, ensuring a focused view of relevant activities. This ensure that only relevant tasks are displayed based on a user’s assigned responsibilities.
Accessing Guided Implementation
A new tile called 'Guided Implementation' has been introduced in SAP Cloud ALM. Users can now easily launch the application by selecting this tile, providing quick and seamless access to the implementation tasks.
Welcome Screen: Easy Access to Important Filters
Upon launching Guided Implementation, users are greeted with a Welcome Screen that provides quick access to frequently used filters:
- Tasks assigned to me and my role
- Tasks assigned directly to me
- Quality Gates
- Navigation to Project Progress Reporting
Users can dismiss the Welcome Screen by selecting “Do not show again” and can bring it back from the setting upon the next launch if needed.
Screen Design Overview
The user-friendly layout consists of:
- Overview of project tasks assigned to your role and directly to you
- Task List based on the selected roadmap
- Task Details, including:
- Task status
- Responsible person
- Planned completion date
- Task description
- Resources (Accelerators & References)
- Navigation options (Previous & Next buttons)
Role-Based Task Visibility :
Only tasks assigned to your role or directly to you appear in the application, reducing clutter and improving focus. For Example: if you are assigned to the role of Business Analyst in the Project then you will see only those tasks that are relevant to the role.
Task Progress Across Project Phases
Guided Implementation provides a clear progress overview by showing:
- Total tasks relevant to the user
- Number of completed tasks per phase
- Progress status per phase
This visibility helps users track progress and prioritize work effectively and stay aligned with project milestones
Create Projects
As a Project Lead, you can now create projects directly within the Guided Implementation application. This eliminates the need to navigate to Projects and Setup separately before returning to Guided Implementation, reducing the number of clicks required. Additionally, users can inline edit foundational tasks, such as: Project Setup , Defining Timelines . More foundational tasks will be included in future roadmap updates.
Switching Between Projects
Users can seamlessly switch between different projects within the Guided Implementation application. This enables them to:
- View tasks specific to the selected project
- Easily navigate between multiple active projects
- View project-specific progress and progress tracking
- Return to the exact task they were working on before switching projects, ensuring continuity and preserving context
This feature enhances multi-project management by ensuring users work within the right context at all times.
Supported Task Types
The application supports:
- Roadmap Tasks (SAP Recommended)
- Manual Tasks (custom-defined activities)
- Subtasks (breakdown of larger tasks)
- Quality Gates (milestone validations)
Each task type is indicated with a unique icon for easy identification.
Task Relations: Understanding Dependencies
Understanding task relationships helps ensure that dependencies are met before progressing. Now you can get transparency on the relationship between the tasks and the application displays an information message if the predecessor task is not completed before the current task is processed.
For seamless execution, tasks are categorized as:
- Predecessor Tasks (Waiting Tasks)
- Current Task
- Successor Tasks (Blocked Tasks)
Users can:
- View predecessor tasks (must be completed before the current task).
- See successor tasks (dependent on the current task).
- Navigate (to task application) between related tasks.
- Check task ownership, status, and planned dates for dependencies
Search & Filter Capabilities
- Easy search for tasks in the tree list.
- Filter based on important attributes like task type, status, role and responsible person. You can also reset filters easily.
- Phase-Based Filtering: Click on a phase name to display only the tasks relevant to that specific phase. This helps users focus on the tasks within a particular phase without distractions from other project stages.
Task Status Indicators
Users have quick access to task statuses to understand project progress at a glance. The visual appealing icons not only indicate the status of an individual task but also provides an quick way to visualize the overall status of the relevant tasks.
Managing Quality Gate Tasks
For tasks of the Quality Gate type, users can now see the status of checklist items directly within the task details. This visibility is crucial for those responsible for ensuring that quality criteria are met before moving to the next stage of the project. In addition to the checklist item status, users can easily navigate to the checklist in the Task Management Application for more detailed information and updates.
Checklist Item Statuses:
- The status of each checklist item will be visible in the task details view.
- The color-coded indicators provide a quick visual cue for the status of each checklist item, ensuring that users can take immediate action if any checklist items are incomplete or overdue.
Navigate to Checklist:
- Users can click on the checklist item directly from the task details, which will open the corresponding checklist in the Task Management Application.
- This functionality ensures that users can quickly address checklist requirements without leaving the Guided Implementation interface, improving workflow efficiency.
