Introduction

What does this blog cover?

In this post, we will demonstrate how easily a Workday solution can be integrated with SAP S/4HANA  Cloud. This seamless connection is made possible by the SAP Integration Suite, which ensures smooth and efficient integration between the two systems.

Integration Scenario

Many organizations use Workday as their primary HR system for managing employee data, while SAP S/4HANA Cloud Public Edition is used for enterprise operations. To ensure accurate HR and system access management, companies need a reliable integration that automatically replicates employee records from Workday to SAP S/4HANA Cloud Public Edition, keeping workforce data consistent across systems.

With this integration, employees from Workday are created as Workforce Persons in SAP S/4HANA Cloud Public Edition. At the same time, this process enables automatic user provisioning, meaning that once an employee is replicated, the corresponding business user is also created in SAP, granting them access to relevant applications and processes.

As shown in the process figure below, a scheduled job in SAP Cloud Integration queries Workday for any updated or newly created employee records. Workday processes the request and returns the relevant employee data. If no changes are found, the process ends. Otherwise, the data is transformed into the required SAP S/4HANA Cloud Public Edition format. The transformed records are then sent to SAP S/4HANA Cloud Public Edition, where employees are either created or updated as Workforce Persons, ensuring their details are up to date.

How to set up the scenario?

Overview:

  1. Find the right scenario
  2. Prepare SAP S/4HANA Cloud
  3. Prepare Workday
  4. Configure Cloud Integration

 

1.Find the right scenario at API Business Hub

SAP offers a wide range of pre-built integration content for Workday and SAP S/4HANA Cloud Public Edition. To explore what’s available, visit the SAP Business Accelerator Hub, where you can filter by the systems you need and find ready-to-use integration packages that streamline the setup process.

  • Open SAP Business Accelerator Hub
  • Search for the package SAP S/4HANA Cloud Integration with Workday
  • Select Replicate Employee from Workday to SAP S4HANA Cloud

  • Here, you can discover and analyze the integration flow
  • Under Documents, you will find the link to the documentation, which you can read through

2.Prepare SAP S/4HANA Cloud

  • Create the Communication System and Communication User
    • Create new User for Inbound Communication
    • Save your credentials for cloud integration configuration

  • Create Communication Arrangement
  • Choose Scenario -> SAP_COM_0301
  • Maintain your created communication system and Inbound User 
  • Save the SOAP API Endpoint Replicate Basic Master Data for Workforce from External HR Systems for cloud integration configuration

3.Prepare Workday

Check instruction in the documentation of the Integration Flow -> Configuration Guide

4.Configure Cloud Integration

  • As a prerequisite, first install the Workday Adapter from the discover menu for prepackaged integration content  in your environment
  • Once successfully copied to your design runtime, deploy the Workday Adapter.
  • After you install the Workday Adapter, copy the package ->SAP S/4HANA Cloud Integration with Workday to your own design runtime

  • Select the value mapping artifact
  • Maintain your value mapping for the GenderCode and CompanyCode, as required in your SAP S/4HANA Cloud
  • Select the Replicate Employee from Workday to SAP S4HANA Cloud  Integration Flow and click on configure

Artifacts

  • Here maintain your Workday tenant configuration values like tenant url, credentials 
  • Maintain the SAP S/4HANA Cloud Public Edition parameters, which were set up in the previous step.
    • Configure the inbound endpoint of SAP S/4HANA Cloud 
    • Maintain also SAP S/4HANA Cloud credentials for authentication.

Conclusion 

Setting up the Workday to SAP S/4HANA Cloud Integration was easier than expected, thanks to prebuilt content available in the SAP Integration Suite. Instead of starting from scratch, we could leverage ready-to-use integration flows that only required minimal configuration. However, for businesses with more complex needs, there’s always the option to customize or build entirely new integrations
