We currently have our document management system configured to show the current version of a document. This works fine for documents in FR (final release). What is a problem is that in the material master we still see documents attached that are OB (obsolete) or AR (archive). Is there a config setting to not show archived documents when showing current versions? So we want our material master to show only the lastest drawing in FR status.
Thanks,
Joe

Hi Joe,
The 'current version' setting is like a filter. In case the radio button is set to 'Current Version' only the highest version of a document number is displayed.
The system logic depends on different circumstances and is like:
no version is released:
In this case the highest document version is displayed.
a version is in released status:
Then this version is displayed as the current one. Even if there are higher version numbers.
To be sure the system behavior is correct please check also if the notes 847511 and 775515 are implemented correctly.
I hope this information could be useful for you. If yes please donate some points.
Best regards,
Christoph

So, it sounds to me it is normal for obsolete and archived documents to show in MM03 as long as no versions of that document are in final release. We thought this was incorrect because once we superseded a drawing and archived or obsoleted it, we expected it to be filtered out of MM03 document display. Do you know of anyway to adjust the filtering of documents in MM03 document display to remove document in archive or obsolete statuses?
Hi Christoph,
Can you help me understand what standard SAP (ECC6) should be for determining the current version of a document? Should only released documents be considered when determining the current version? For example, if a material is linked to a DIR with an Obsolete status, we would want the material master to show nothing in the "Current" view. Is this how standard SAP should act?
Do you have any recommended sites with good documentation on document management in ECC6? I'm having a hard time finding any.
Thank you for your help.
Melissa
Hi Melissa,
please see the information at the following WIKI page which might be useful for you:

Regarding the documentation for DMS I would recommend you to take a look at the SAP Online Documentation at http://help.sap.com. Here you will find all the necessary information for your specific release.
Best regards,
Christoph
