Basic Account Segment Category Error

Hi,

I am relatively new to the Data Tool Workbench and I am trying to import the GL Account Segment Category names. I have reviewed the DTW sample for this integration and created my source file accordingly. The error I am getting for all rows is..."No matching record found ODBC - 2028 Application defined or user-defined errorAccountSegmentCategories".

I have searched the forum and found threads relating to importing the COA, but none addressing issues specifically relating to the account segment categories. I have also printed off many of the COA instruction manuals mentioned in the threads, but haven't found anything that can help with importing account segment categories.

Hi Robert,

It seems that you misplaced the value in the columns Code and SegmentID. It should be 1117, 1118, ... in the column Code (the content of the Segment 1), and 1 in the column SegmentID (the code of Segment 1 itself).

Natural account is normally Segment 0 not 1. So I don't think there are any ways that let B1 know Segment 1 is your natural account. You just need to DTW oChartOfAccounts directly for your Segment 0 aka Natural account.

Tried the GL account import and that errored out (shocker!), but I'll start a new thread for it.

Since you only have 4-3-2 segment category, you don't need to DTW at all. Unless you have hundreds code for the second segment, i.e. the code with 3 digits, you can manually put in the 3 digit code category name. You Code with '1' is Segment 1 which IS 3 digits!

Ok, upon reading Julie response and Gordon's latest it appears that perhaps I have misunderstood the purpose of importing the segment categories.

Julie - I tried to manually enter the various different versions of the natural segment (1st segment 4 digits) in my chart (e.g. 1117, 1118 etc..), but B1 doesn't allow me to do so. Double clicking on the Natural segment row doesn't open up the entry window like it does when do so for my 2nd and 3rd segments.

Gordon - "IF" I interpret your latest post correctly the account segemnt category import is for importing only various versions of account segments which are NOT the natural segment. Thus I can enter as many different numbers for my 2nd and 3rd segments since they are NOT my natural segment. This would explain why B1 doesn't all me to enter any of my various natural segment codes.

If my assumption above is correct then my only question is how does B1 know that segment 1 is my natural segment? I am still learning the details of B1 (obviously), but don't recall seeing anywhere in the software where a segment is spefically identified as being the natural. I doubt B1 is simply programmed to require segment 1 to be the natural as I have seen many companys that incorporate the natural in segments other than the first in their account structure.

Any thoughts?

Thank you Marini for pointing out the problem in my data file. However, after updating the source file to be in the proper format I am still getting the same error (Invalid Code Application-defined or object-defined erroroAccountSegmentationCategories). Below is a sample of the updated file. I looked in the Target Data tab, expanded the first BOM and the data appears properly mapped Code = 1117, Segment = 1 and Name = Checking - East West Bank.

Have you tried inputting one of these lines manually into the system? Sometime this helps to show where the error is.

You code 1 links to Segment 1, it only has 3 digits. Code 0 links to Segment 0, you have 4 digits.

Jitin - Thanks, but it looks like your link refers to the actual GL account import. I would love to one day get to that point for now it appears I am forever stuck trying to import the account segment import.

You may misunderstood what is Account Segment Category Name. For your data, that all sound like actual accounts' name. Account Segment Categories are normally quite generic. It is also only needed for the Segment 1 & 2. in your case, those codes are 3 and 2. You don't need to put Segment 0 in. Just omit all codes length in 4.

In the window labeled "Chart of Accounts" I have no data. No gl accounts whatsoever.

ps - I have checked the box "import new object" when i am trying to import the segment names.

Please keep in mind that I am referring strictly to the account segment names import. Once I achieve success with that import then I will attempt to import the actual COA.

Your data for Segmentation Categories looks fine. Just omit shortname for now to try. First 3 columns are essential. The prerequisite is you have Segmentation Categories ready.

I have setup the account segments before attempting the import. My COA has 3 segments (4-3-2). Being that I am relatively new to this import process I believe the problem is minor so please don't hesitate to ask additional questions relating to the basics. Below is a sample of the import file. I tried simply placing a "1" in the short name field for the first 5 rows just to see if it would make any difference. It didn't matter.

You should use FormatCode instead of Code and FatherAccountKey is mandatory. FormatCode is the account 4-3-2 without dash.

You need to set up Account Segment Category before your DTW. That process could be done manually since only maximum 9 Segments have to be set up.

Could you paste a few rows for your template with the header for me to see what you have filled.

Paste it using the Code tags above << >> so that the spacing will be maintained between cols.

May I ask what you have done in SAP on the GL Segment setup before trying this import
