hi guru's ,

can anybody tell me what is workflow? is it the part of ABAP or other module ? i m new for workflow if possible then plz. send me some document .

Hi saurabh,

Workflow is a more basis related component. This component allows you to configure SAP system to trigger the mail straight to the Inbox of the manager. It can be related to approval of PR or PO or it can be of anyother purpose. The main purpose is the manager need not to login GUI screen for approval. He could select the approval button in his outlook mail(This mail will contain complete details of purchase order), it will automaticall update in SAP back end.

Workflow will be per Business object. BO can be PR, PO etc.It is possible to set the event by when the workflow should trigger. For example it should trigger when the purchaser creates a PO and saves it . The saving action is called event. After the event is triggerred system will check for the starting conditions. It is possible to define starting condition per workflow. It is like your release strategy. If the value of PO is less than 1000 then it should be approved by one manager, if values >1000 then it should undergo approval from 2 managers.

There are plenty of predefined workflows which could be used straigt according to the purpose expected.However workflow is delicate and has to be configured with utmost care in proper sequence to avoid in consistencies.

By SWDB you can create a workflow.

1) use SWU3 to initialize;

2) use SWETYPV to customize event link;

3) use SWELS to open the event trace; use SWEL to diskplay event trace;

4) use SWDB to create a new workflow;

5) use SWDD to show or change a workflow;

6) at beginning you don't need maintain Organization Plan, just designate the user (Type: US) for the agent.

Hi Saurabh,

SAP Business Workflow is used to define business processes that are not yet mapped in the SAP System. These may be simple release or approval procedures, or more complex business processes such as creating a material master and the associated coordination of the departments involved.

Workflow is particularly suitable for situations in which work processes have to be run through repeatedly, or situations in which the business process requires the involvement of a large number of agents in a specific sequence.

Go to transaction SWDB ---> To Create a new Workflow.

SAP Workflow is a tool to automate complex business processes where there is more than one user involved. SAP workflow maps the position in organization because SAP believes that Positions are more stable than the people.

SAP Workflow is a process tool that is designed to facilitate and automate business processes involving the tasks sequence performed by the users (people in the workplace) and ensure that the right work is assigned in the right sequence at the right time to the right person in the workflow. The SAP workflow can be linked to other software tools such as Microsoft Outlook or Lotus Notes. Using SAP Workflow, each step of a business transaction can be easily monitored throughout the initiation and completion of the business processes. The SAP Workflow enables the process owners to track deadlines, determine the workload as well as provide statistics on the length of time to complete work processes.

The key components of the SAP Workflow include the Workflow Definition, Work Items, Events triggers and the Organizational Structure in the workplace.

Technically SAP Workflow is an integrated part of SAP application server.

Example 1

[[Approval procedure in Procurement. Some person creates a Purchase Order which must be approved by one or another (or even more than one) manager depending on the amount]]

Example 2

Suppose Person A is EDI administrator. It is defined that all EDI related jobs will be done by him. It is also defined that in his absence another person will do his job. If person A wants to take a planned leave and then he wants all his jobs assigned to him in his absence to be assigned to person B. He will nominate the person B in SAP and then SAP automatically assigns the job of A to B.
