application for electronic purchase orders

Hi ,

I need soem help on the following business scenario.

We need to scan a purchase order that comes as a fax. The data in the scanned document needs to be converted to a purchase order in SAP. How can this be achieved . We don't have the option of OCR/ Bar coding .Please help urgently .

Maybe it's time to look into Adobe Forms. User can enter data into the form, mail it to SAP, SAP will create the PO.

The situation at the client end is somewhat like this . There is some purchase going on for some cereal at a place . The purchase is so quick and so much in number and the place not being equipped with an office with computers , the purchase orders are handwritten templates . At the end of the day to summarise all the purchases made , the purchase orders are faxed at the head office of the company . The faxes are given to data entry operators and then it is fed into the system . They wish to implement SAP and we want to remove this tedious exercise which they carry out . For this if the purchase orders are scanned and then they can be converetd to PO's in SAP through those scanned documents then we will be able to achive a solution .Can you suggest a third party tool which can read the scan docuemnt and then store the information in DMS and then we can use that data in the database to make the PO's in SAP . Guys on the forum please offer some help urgently .

Hi Deepak,

Please don't misunderstand but my advice is "<i>Don't waste your time</i>". It is very difficult to that even for printed documents you are talking about handwritten documents.

If you think on some other line, maybe you can create a fast entry screen so that data entry operator doesn't need to press so many keys to enter one PO. Maybe think about grouping more than one paper PO into one SAP PO.

Think of a better solution have a PC at this place, develop simple application to capture PO and create a file for SAP and later load that into SAP.

I understood your problem at the very beginning but wanted to check out what others have to say.

Just my two cents, maybe sombody has that magic solution (That works within your budget).

I would agree with Sanjeev. Eternalizing such a process is not very cost-effective. In fact, with hand-written pages, I think a human processor will make fewer mistakes than an OCR program.

However, if you still want to pursue this option: SAP in general does not recommend third-party software. We have partner directory where partners with SAP-certified products are listed. You can find OCR products there. Follow this link:

and choose Optical Character Recognition from the drop-down menu.

Thanks Markus !

Infact I myself concluded that it will be dificult directly with SAP but a third party tool would help . I could find some but then they were not SAP certified and convincing ourselves and the client is not an easy task with those tools. This info was of great help .
