Master Data is the engine of any integration scenario, which ensures seamlessly integration flow and data consistency. For the CPQ-BRIM integration scenario, Business Partners and Products play this  important role. In this scenario, CPQ is a S/4 HANA public cloud solution, where the Quote 2.0 engine integrates with S/4 HANA Private Cloud Billing and Revenue integration to help customers efficiently configure products for the customers, negotiate right prices and create right quotes to efficiently manage their sales process.

It is important to understand the key related terms viz – Business Partners, Partner functions and Involved Parties here.

  • Business partners of an organization are all the entities that have business relations with that organization.
  • Partner functions determine how a certain business partner is related to a transaction. The most common partner functions are Sold-To Party (entity to which goods are being sold), Ship-To Party (entity to which goods are being shipped), Payer (entity responsible for payment), Bill-To Party (entity to which invoice is issued), and so on.
  • The Involved parties tab in the quote is where users choose partner function and choose or add business partners to create an involved party. An involved party on a quote is a business partner matched with the partner function they perform on the quote. The prerequisite for managing involved parties on the quote is to create the Involved parties tab following this procedure. The tab is empty if there are no partner functions selected to be added by default on the quote.

Example

Lisa Adams is the buyer of the goods sold through a quote. Keshav Madhavan is replicated as a Business Partner from S/4 HANA into SAP CPQ, while the partner function Sold-to party is already in the CPQ system, created by default when the Business Partner feature is enabled. On the quote, the user creates a new involved party by selecting Keshav Madhavan from the list of existing business partners and Sold-to party from the list of partner functions.

The Business Partner data transitions from S/4 HANA to SAP Mater Data Integration (MDI) on BTP to SAP Cloud Integration and finally is replicated to SAP CPQ.

  1. Leading system for Business Partner creation in this integration is S/4 HANA, where integration is enabled with SAP Cloud Integration via SAP Mater Data Integration (MDI).
  2. SAP CPQ provide api: /api/businesspartner/v1/businesspartner for Business Partner CRUD operations.
  3. By default, tenants with the Business Partner feature use 3-letter country abbreviations.
  4. Type of Partner functions supported in this integration are:
    • Sold-To Party (mandatory) (SAP CPQ -> SetUp -> Workflow/Approval -> Required Fields by Workflow Action -> crossing of Sold-to party(Vertical) and Place Order(Horizontal)
    • Ship-To Party
    • Bill-To Party
    • Payer Party
    • Contact Person
    • Employee Responsible
  5. The SAP BRIM can only deal with one value per Partner Function. Therefore, the SAP CPQ system must not send more than one Business Partner for each Partner Function.
    • SetUp -> Quotes -> Partner Functions
  6. Partner Functions can only be replicated from SAP CPQ to SAP BRIM if the Partner Function Key exists in SAP BRIM and was entered on the More tab in the integration flow configuration.
    • Navigate to CPI Instance
    • Design – Package: SAP CPQ - Quote 2.0 Integration with SAP Billing and Revenue Innovation Management
    • Click on Artifact Replicate Quote 2.0 from SAP CPQ to SAP S4HANA
    • Click Configure
    • Click More

7. Once the BP is created in S/4 it can be automatically replicated by using DRF or you can replicate it manually by using the DRF tile "Replicate by Object selection. The Business Partner Replication can either be triggered directly from SAP Billing Revenue and Innovation Management to SAP CPQ or via SAP Master Data Integration. Both scenarios can make use of the same iFlow in SAP Cloud Integration as the inbound Business Partner object has the same structure. However, the settings in SAP Billing and Revenue Innovation Management determine if the Business Partner is replicated directly from SAP S/4HANA to SAP CPQ or from SAP S/4HANA via SAP MDI to SAP CPQ.

8. In SAP CPQ, ID displayed in the field Partner ID on business partner should match the business partner in SAP Billing and Revenue Innovation Management.

9. The quote created in CPQ must contain an involved party with this partner function and a business partner. The system then uses the assigned business partner to filter the contracts from SAP S/4HANA and display only the contracts related to that business partner when creating a new asset in the change process scenario.
