Run Payment Program (F110)

Purpose

Use this procedure to run the automatic payment program. The payment program is used to create cheques, BACs payments, electronic transfers, etc. for vendors. It is also used to create a direct debit file for customer payments. The payment program runs in three specific steps, which must be run in order.

Create Payment Proposal. This is a listing of proposed payments. The proposal should be reviewed for accuracy and edited or deleted if incorrect. No postings or payments are created at this step.

Create Payments. This step creates posting documents in the system, clearing the customer/vendor subledger accounts and posting the offsetting item to a cash or cash clearing account.

Create Payment Media. This step creates the actual payments, sending cheque forms to the printer or creating files of electronic payments to be sent to the bank.

Trigger

Perform this procedure when you are ready to create vendor payments or to create a direct debit file for customers.

Prerequisites

• You must have the following master data prepared:

• Banks and bank accounts with associated general ledger accounts;

• Appropriate payment methods assigned to your company code;

• Customer and vendor master records with the appropriate details completed.

• If you wish to create a cheque payment, the vendor/customer master record must contain full address details.

• If you wish to create an electronic payment, the vendor/customer master record must contain full bank details.

• If you wish to create a direct debit transaction for a customer, the 'Col' (collection authorization) checkbox must be selected. This field is found on the General Data - Payment Transaction Data tab.

Navigation Path

Use the following navigation path to begin this transaction:

• Select Processes è Purchase Requisition through to Payment è Payments è Automatic Payments è Run Payment Program to go to the Automatic Payment Transactions: Status screen.

Do you know the steps in creating a payment? and also how to generate it?

I tried to work on that but I only come up with this message "Payment run has been carried out" I need to come up with this message in the status tab "posting orders:1 generated,1 completed".

Hope you can help me.

FI_AP_XK05_Block_Vendor_for_Invoicing (XK05)

Purpose

Use this procedure to block this vendor from certain purchasing activities and/or payments. Caution: this block will block ALL invoices, purchase orders, or goods receipt for this vendor.

Note: If the intention is to block the vendor for purchase orders or goods receipts, additional steps need to be completed in SRM.

Trigger

Perform this procedure when you have been appropriately notified that some type of purchasing or payment block should be made to this vendor record. This transaction should hardly be used. If necessary you can block specific invoices from payment as oppose to all invoices.

Prerequisites

· Security Role: Vendor_Master_Central

· A vendor master record must exist for the vendor.

Menu Path

Use the following menu path(s) to begin this transaction:

· Select Logistics Materials Management Purchasing Master Data Vendor Central XK05 - Block.

· Select Accounting Financial Accounting Accounts Payable Master Records Maintain Centrally XK05 - Block/Unblock.

Helpful Hints

· If you use this transaction frequently, you may want to remember the transaction code FB60; enter it in the upper left hand corner of the SAP Easy Access screen and hit the Enter button on your keyboard. This will take you directly to the transaction screen for data entry.

· To display technical names of transaction codes, select Extra Settings. Click on , then click the green check mark located at the bottom of the Settings pop up box.

Note: There is a second path you may use to access this transaction. It is under the Logistics module.

1. Double-click .

Follow the menu path illustrated above to reach this transaction. Alternatively, you may enter the transaction code XK05 in the upper left hand corner of the SAP Easy Access screen and hit Enter on your keyboard.

Block/Unblock Vendor: Initial Screen

2. As required, complete/review the following fields:

3. Click to search for a vendor.

4. Click to search among all the vendors stored in the system.

6. As required, complete/review the following fields:

7. Click to go to a screen where you can block or unblock the vendor.

Block/Unblock Vendor: Details

If Purch Organization is not entered in the prior screen then the Purchasing block section will not be displayed.

8. Click to take you to the Administrative Data screen.

Administrative Data

8.1 Review the vendor's information as necessary. This screen includes details the vendor's account group, as well as information about the creator of the account.

9. When you are ready to return to the Block/Unblock Vendor screen, click .

10. Click to go to the Vendor Address Window.

In order to access the Vendor Address Window, none of the boxes under Posting Block or Purchasing block may be checked. In addition, the Block function field must be empty, and the Vendor field must be active (place the cursor in the Vendor field to activate it).

Display Vendor: Address

The vendor master display screen appears for the vendor selected.

10.1 This screen is part of the transaction XK03. Refer to the XK03 documentation for more information about this window.

11. When you have finished reviewing the information in the Vendor Address Window, click to return to Block/Unblock Vendor.

12. Click under to place a posting block on all company codes.

13. Click under to place a block on all purchasing organizations.

14. As required, complete/review the following fields:

18. Click to save the details.

When you save, a warning message may appear. The system will still allow you to save the block; click to continue.

18.1 The system will return the message and return to the initial screen.

19. This vendor has now been blocked. In order to unblock the vendor and undo the changes detailed above, follow the steps below.

Result

You have successfully blocked the vendor for all company codes and all purchasing organizations. You have also undone these changes and restored the vendor's original configuration

Comments

If needing to only block a certain invoice instead of the entire vendor record, you may do so during the payment proposal (F110) or by using FBL1N. Refer to those BPP's for details.

First create an open item for the concerned vendor using FB60 and then run the payment run.
