SAP Business Workflow can be used to define business processes that are not yet mapped in the R/3 System. These may be simple release or approval procedures, or more complex business processes such as creating a material master and the associated coordination of the departments involved. SAP Business Workflow is particularly suitable for situations in which work processes have to be run through repeatedly, or situations in which the business process requires the involvement of a large number of agents in a specific sequence.

SAP Business Workflow can also be used to respond to errors and exceptions in other, existing business processes. A workflow can be started when predefined events occur, for example, an event can be triggered if particular errors are found during an automatic check.

Definition of a Business Workflow and Workflow terms

A Business Workflow definition contains the following:

Business Workplace: A place for the user to execute the work items, which are instances of a workflow at runtime. The work items to be executed are usually displayed here. This can typically be the Inbox of SAP Office.

Workflow Definition: A workflow is defined using a Workflow Builder. A workflow definition contains a series of steps or events that are executed at run time. These steps can be arranged in series or in parallel.

The main purpose of SAP Business Workflow is to get the right task to the right agent

(organizational unit, position, job or user) at the right time. This speeds up the completion of

business processes. Organizational Management provides the framework for a routing structure

that SAP Business Workflow uses for task assignment at runtime. By scrolling through the

complex network of relationships in an organizational plan , SAP Business Workflow is able

to pinpoint exactly where tasks should be routed. This organizational plan provides you with

_ a flexible model of your company on the system, which you can manipulate to reflect actual

and proposed human resources scenarios

_ a structure along which you can route your business processes

There are two possible cases:

_ The Organizational Management component is used for human resources purposes in your

enterprise. In this case, you use the organizational plan for human resources purposes as

well as for workflow. As long as integration between Personnel Administration and

Organizational Management is acitve, you can assign tasks to both users and employees.

You can assign users to employees in the Communication (0105) infotype.

_ The Organizational Management component is not used in your enterprise. In this case, you

create only a small part of your organizational plan in order that all workflows may run. As there is no integration with Human Resources, you can only assign tasks to users.

To reduce the number of agents found, or to restrict the number of agents responsible, you can

Hi

First create a subtype ZBUS2038 for the business object BUS2038 by copying it from SWO1 Tcode.

then define a custom event for this custom object. save and activate.

If you want a custom method for this create a method also.

release the Method, event and then the Object.

Create a Task in PFTC and add this ZBUS2038 object and the relavent method

then define the triggering event which you have created and define the binding and event linkage and build the workflow builder and use it.
