substitute in workflow doesn´t have authorization in ME29N

Hello,

I have some problem to define entirely my substite configuration to release PO.

I am trying to configure the replacement process for when a business user leaves.

Once all the configuration is done to keep the substitutes:

  1. Define classification labels for tasks
  2. Define substitution profiles
  3. Group the classifications into profiles.
  4. Classify the workflow tasks.
  5. Setting up substitutions in SWBP
  6. adopt the substitution from pasive user logon.

I have the issue when the substitutes, after adopt it, this one doesn´t have authorization. I thought that when doing this type of configuration the user to approve does not have to have the authorization. It must make sense not to have it, since if I give it directly he can enter always to me29n and i only want he has authorization for the elements has to approve.

Then, the user receives the notification to his workinbox in SAP, but when he clicks on the notification, the message that he has no authorization emerges. Business is telling me that the user doesn´t need to be at the same level of responsabilities.

Of all the help on this, none deals directly with the issue of the transfer of authorizations, in this case the ME29N.

I don´t know if i am using the right task TS

Hi,

It depends on how the workflows are modeled.

You can model a workflows where dialog items are only used to get confirmation or approval and leave interaction with SAP objects through background steps.

In all other cases where a dialog item executes ME29N the substitute must have the correct authorizations. In other words the business is incorrect in this case, it does matter that the substitute has the same approval level as the one who's on leave.

Please, let me ask you something.

Then, my new purpose would be to automate the activation and deactivation of that user transaction in the period established in the substitute configuration. To create the link between role of user, task and substitution configuration.

How would it be?

Hi Miguel,

It makes more sense to make the users understand what substitution is without workflow. If I go on a holiday then I make sure that all of my tasks are substituted by my colleagues. And if one of my tasks is to approve purchase orders then only someone who knows how to do this and who is authorised can be my substitute.

It has all the sense of the world. The truth, that I got carried away a little by the idea of the user, without taking into account this basic principle about authorization.
