Standard WS20000075: Not receiving workitem message in SAP Inbox

Hi to all,

I am attempting to activate the standard SAP MM workflow WS20000075 for two levels approval and have read these threads and a few others from SCN:

1. http://scn.sap.com/thread/1386155

2. http://scn.sap.com/thread/3559884

3. http://scn.sap.com/thread/3571317

I have pretty much got the WF event triggered but was not successful in sending out the message containing the workitem even to the 1st approver's SAP Inbox.

These following screenshots depict what was done for configuring the WF.

------------------------------------------------------------------------------------------------------------------------------------------------------------------

1. MM Release Strategies with WF indicators and setup

2. SWDD / PFTC relevant to WS20000075, activation of WF event.

3. Outcome from testing the WF by creating a new PO document where I can see that the WF event was triggered from within ME21N/ME23N:

However, there is no message containing the WF workitem sent to the 1st approver's SAP Inbox for release code "Z5" - Manager:

From the PO creator's SAP Outbox, I can see two concurrent WF logs created for to the above PO #:

Both logs ->

From SWEL:

From SWE2, the relevant configuration looks alright:

------------------------------------------------------------------------------------------------------------------------------------------------------------------

Based on the above outcome, I went into the corresponding WF step and noticed that there is no agent assignment and agent expression by this standard SAP delivered WF. So, do I need to do anything here?

However, I am not too sure if both agent assignment and expression were the main culprits since this is basically my first attempt in setting up the MM WF. On the other hand, if I were to assign the agent here, it would mean "hard coding" and thus will most likely not meet the requirement since the release strategy has two levels of approval. Meaning, the workitem should be routed to 1st and then 2nd approver in the correct sequence upon PO released.

I hope someone here can help me clear the air and point me to the potential configuration that I might have missed out.

Thank you so much.

DB

Hi David,

On the mentionned step in the workflow you can see that your task has no agent assignment meaning there is not potential agents, also there is no expression for the determination of the agent [agent] on the step but this is standard here I will explain later.

First go to PFTC in the menu

the either you choose attributes button to put it as general (meaning every one is a potential agent : be carefull with that as in case the agent determination can not find an agent and the rule does not trigger an exception then the workitem is sent to all the potential agents)

The other choice my favorite is to assign a role (PFCG role) or an organisation from the PPOME) by clicking on the button

Now that you have told the workflow who are the potential agents, lets take a look at what SAP provided you for the responsible or determined agents.

On the main screen for the task in PFTC

Go the default rule tab you'll be able to check that SAP has provided you with the determination rule AG 20000027

So everything is fine as soon as you have set up the release strategy and the agent assignment.

Have fun with the workflow !

Cheers

Stephane

PS: for more information of course consider the book on workflow in SAP Press and for agent assignement you can check http://scn.sap.com/community/bpm/business-workflow/blog/2015/10/30/agent-determination

Hi Stephane,

Thanks, I managed to get the WF working using the role method. One question though out of curiosity. Prior to posting this thread, the attribute for the task was defaulted to "general" similar to the article referred by you.

Strangely it may seem, the WF never found any agent which was supposedly considered to be as "Dangerous".....

Hi David,

In SWU3 has the customising been done in order to classify task as general task ?

Also the index was it generated ?

That the only thing I can think of ...

Cheers

Stephane
