Restricting access to the Admin Explorer folders

Hello Gentlemen,

I have created two iviews from the KM Navigation iview template ie. NewsExplorer, and NewsBrowser layout sets. Everyting is okay.

However, I need to give the News Author the ability to upload documents to the KM repository, and access to only selected folders, rather than all the folders in the Admin Explorer.

How do I achieve this?

Thanks in advance.

Collins.

Hi Collins,

Congratulations, yes you can do that.

Using permission setting, in your different folders, you can grant write permission to the author.

Then you can create an navigation iview, assign it to a role. The author use this role and only can upload document in those folder where he has write permision.

Hello Pat,

Thanks a lot for the other time. I will definitely award points for this thread. However, I have some more questions:

1.Which layout set do I assign to this navigation iview?

2.Which folder ie. /documents/<myfolder>, do I use as the target for this iview?

3.How will the Author use this iview to manage documents in the target folders (I need him to have access to six folders in the KM)

Thanks again.

My friend,

You have different way to do that, you can use layout set or in your case you can restrict folder user's access.

Suppose that you have:

documents/folderA

documents/folderB

documents/folderC

documents/folderD

and you need that author only can see folderA and folderB.

Your navigation iview use as the target: /documents/, not specify any layout.

in your folders: folderA and folderD using details/setting/permission grants read/write access for the author.

In the other folders: not give read permissions.

That's all.

Hello Pat,

It worked. Thanks a lot.

One more question though, my collaboration rooms are doing okay, but the news iview doesnt display any news at all. Even when i create the news from the iview its only displayed in the "documents" folder.

How do I make news to be displayed in the collaboration rooms?

Is it possible to filter news in the rooms i.e to display only news for a particular room only.

Thanks.

Hi Collins

This is very much possible and this is the way it is supposed to work. You will have to check 'Extensions' which will define the life cycle of your Rooms News content and 'Mapping' which will define the path for storage.

You can compare it with the standard Room template SAP_Standard_Template_2 (Content Admin->Collab Content->Room Template Administration)

Check the Extension for News under Extension tab. View the Extension point by editing it. Also view how the Mappings have been defined for that News iView under the Mappings tab.

See if your News iView has similar settings

Hello Pran,

I have accessed the Room Template Administration, but I didnt quite understand how to make the appropriate changes required. I'd appreciate if you could offer more help, maybe by giving an illustration.

Thank you.

Hi

The idea is to compare your settings with the settings of a standard room template. The room template to compare is SAP_Standard_Template_2. Click on it and inspect the tabs Mappings and Extensions to see the config for News iView which is part of this template , perform the same.

Pran
