Attaching Multiple Reports To 1 Email Crystal Server

I have my reports set up and I have them going out automatically successfully. However, there are about 4 reports I'd like to be able to generate and be sent out to an individual via email but all in 1 email. It is something they are going to be getting everyday, so I don't want to have to have 4+ emails going out to them every single day. I have Crystal Server 2020. Is this possible? And if so, how can it be achieved? Thank you,

Hi Matt,

I modified your tags. The SAP Crystal Reports tag is for questions about report design. Since your question is about report scheduling, the SAP Crystal Server tag is correct. Also, since Crystal Server is a version of BusinessObjects that only works with Crystal reports, I added the SAP BusinessObjects Business Intelligence Platform tag.

This is not difficult to do using Publications. However, one of the challenges you might face is that Crystal Server (CRS) limits the number of recipients for publications.

Publications can do several things:

- Package multiple reports together in a single email.

- Burst reports so that, for example, each recipient gets only the data for the department they're in.

- Merge reports into a single PDF.

You don't mention which version of CRS you're using. However, not much has changed in how publications work in a number of years. A good place to start learning about publications is Chapter 10 of the "Business Intelligence Platform User Guide", which can be found in the "Application Help" section here.

I mentioned I am on CRS 2020. Is there any other information about the version that I can provide?

Also, I was reading some guides and when I go to add a publication, I don't have the option. I have Object Package, Hyperlink and Folder.

Sorry I didn't catch that! You'll still use a publication, but you can find the information about how to do that in the "Publications" section of https://help.sap.com/viewer/9029a149a3314dadb8418a2b4ada9bb8/4.3.1/en-US and the "Working with Publications" section of https://help.sap.com/viewer/baaf5c869e824d07ab0109e7b093348e/4.3.1/en-US. Just ignore any of it that talks about Webi.

You need to check how your security is configured to determine whether you can access publications. I believe the User Guide I linked to above has information about what rights you'll need.

I am an administrator and it says I have "Full Control". Yet I cannot add a publication. Is this something different I need to add to my rights?

Yes. Look at the User Guide that I link to above - it has all of the security information that you'll need.

I went through the guide and I understand I need "Publisher" rights, but I don't see anywhere in the guide showing how to grant myself that access. I created an "Access Level" for Publisher and added all of the publisher rights, but I don't see how to apply it to my administrator account or what else I need to do differently.

You can do this a couple of ways, but here is what I would do:

1. Create a new folder that will contain your publications.

2. Set the user access for that folder so that the users in the Administrator group have both Full Control and your new Publisher access level on it.

You should then be able to create publications in that folder. You generally want to do this in a folder that regular users don't have access to because publications can be a bit sensitive about their configuration and you don't want anyone who doesn't know what they're doing messing with them. Since you're sending the reports out in emails, other users won't need the access.
