Tags help us to organize our world. Be it when labelling moving boxes, tagging social media content or shopping online. Tags have proven useful in a manifold of areas. To me, they are massive time-saves, particularly when it comes to organizing and using digital data efficiently. 

In SAP Cloud ALM for implementation, the tag functionality has recently been released, so I discussed with product owner lisa.sanders. Read everything about the options for tagging in this blog post.

SAP Cloud ALM is an offering for application lifecycle management for cloud-centric customers. It provides capabilities for implementation and operations of SAP and non-SAP cloud solutions. SAP Cloud ALM is included in SAP Enterprise Support subscriptions.

Why have you created tags for implementation projects in SAP Cloud ALM? 

We wanted to empower users to be flexible in creating their own labels. Every customer and every implementation project is unique. Consequently, there is a need for custom tags. We did not want to restrict customers in their use of tags and make it as easy as possible to create new tags on demand. Users can now find a field in the UI where they can simply enter a tag title as needed.


How are custom tags enabling users to be more flexible? 

In SAP Cloud ALM for implementation there are two different kinds of tags available: pre-delivered tags (from SAP) and custom tags (created by users). Pre-delivered tags come automatically with the template tasks for implementation as provided by SAP. This means, depending on the selected roadmap, these tags will also be available for reuse in SAP Cloud ALM. Both types of tags support users with filtering and grouping of the task and requirements list and thus help with working more efficiently. Nevertheless, these pre-delivered tags cannot be renamed, unassigned or deleted from template tasks. This is why we have created this additional opportunity for creating individual tags for different objects, for example project tasks, user stories and requirements) within an implementation project. By using one tag for different types of objects, they can be linked and bundled, for example all items which are critical for Go-Live or which require risk evaluation.


What are your suggestions for managing tags most efficiently? 

In the beginning of your project, it is beneficial to give clear guidance to team members, as every user is able to create tags. You should decide on naming conventions, as well as how and when you want to use tags. Custom tags can, for example be used for specific reporting needs like risk assessment. In this case users could create the tags risk_high, risk_medium, risk_low. When there is no longer a need for the tags, simply unassign the tag from an object by pressing the "x" next to the tag in edit mode. As soon as the last assignment of this tag is removed, the tag is automatically deleted.
