How can you use the 1003 report format?

You use the 1003 report format to report the withholding tax amounts that were charged by your customers.

Find below the information you report in the XML output file of the 1003 report format when you run this report in the Run Advanced Compliance Reports app:

Nom1 Third-party first name String 60 This data is mandatory for natural persons.
Nom2 Third-party other names String 60 This data is mandatory for natural persons if you have it.
Raz Third-party social reason String 450 This data is mandatory for legal persons.
Dir Address String 200 This data is mandatory if the residency country is Colombia.
Dpto Department code Int 2

DANE – numeric code, include zeros to the left hand-side.

Mcpo Municipal code Int 3

DANE – numeric code, include zeros to the left hand-side.

How to configure the 1003 report format


Before you run the 1003 report format, you need to configure data sources for extraction, which for the 1003 report format are the withholding tax codes that you maintain in the Maintain Withholding Tax Codes (FICODIANV_WHLDG) customizing activity. You can find this configuration in SAP Customizing Implementation Guide > Financial Accounting > General Ledger Accounting > Periodic Processing > Report > Statutory Reporting: Colombia > Magnetic Media (DIAN) > Maintain Withholding Tax Codes (FICODIANV_WHLDG).

In the view, you need to enter the item types, the country code, the withholding type for base amounts, the withholding tax codes and their validities.



With this configuration, the 1003 report format extracts the taxes and base amounts used in your customer invoices and separated them into the correct item type. The other configurations relevant for the report are pre-filled with the Colombia DIAN BC Set (FICODIAN_BCSET) business configuration set. And we are done! Now you can proceed to running your report.

 

This is the step by step execution on how to do that as well:

1 – In the SAP Fiori Launchpad, choose the Run Compliance Reports app.


2 – Filter for the CO_DIAN_1003 report format and choose the run you want to execute.



3 – Choose New Run.


4 – Enter the required parameters and choose Run.


5 – Select the generated file, and choose Download.


6 – Done! Your XML output file is ready for you to send it to DIAN! (Example of XML output file for the 1003 report format).
