This three-part blog series introduces SAP Signavio Process Insights’ new guide: Get Started with SAP Signavio Process Insights. In this series we will explore the content of the guide, which will hopefully make your first days and weeks with SAP Signavio Process Insights as easy as possible.  

In the previous blog post by dianakveit, we looked into the actions you can take on your first day. After successfully establishing the technical connection, let’s focus on your first week with SAP Signavio Process Insights, including the main stakeholders and potential use cases.

Who do I need to involve?

Before starting your analysis, you might wonder who needs to be involved to start the actual analysis. The answer is – to use SAP Signavio Process Insights most efficiently, people with different roles and responsibilities may need to be involved. In this blog, we aim to provide ideas about who is required to start such a process improvement initiative. However, please be aware that these roles and responsibilities are only examples and might differ from company to company. In some cases, one individual may take on several roles.

Transformation driver: Most importantly, a transformation driver who drives the business process transformation effort for a specific process or project is required. This could be the lead of a specific department, a process owner or a project lead. The example roles below are the transformation drivers accompanying you through the Getting started with SAP Signavio Process Insights guide.

IT lead: However, the transformation driver can typically not cover everything him- or herself. SAP Signavio Process Insights analyses processes running in IT systems and aims to improve them. Collaboration with IT will be required to follow up on the improvement potential and implement improvements. Therefore, involving a responsible IT colleague from an early point in time makes sense.

Subject matter experts: Additionally, as soon as you have come to certain conclusions based on the process performance metrics provided in SAP Signavio Process Insights, you may want to include subject matter experts from the business departments to validate the results and gain a better understanding of certain process variants or specific data constellations.

Sponsor: Finally, it is valuable to define a sponsor for the process improvement initiative to get the buy-in for the analysis but especially for implementing improvements. The sponsor is typically someone with a high level of influence across the organization who can help gain awareness to show why process improvements are desirable. Moreover, the sponsor is essential in securing the necessary capacity to implement follow up actions resulting from the analysis conducted in SAP Signavio Process Insights.

Project lead: In case the process improvement initiative is very comprehensive and stretching across several departments, a project lead might be required who is responsible for coordination among the different stakeholders. The process improvement initiative might often be part of a bigger project, e.g. a SAP S/4HANA transformation. In these cases, it is recommended to integrate the set up for the SAP Signavio Process Insights analysis within the existing project and workstreams instead of inventing a parallel project organization.

To sum it up, a process improvement initiative using SAP Signavio Process Insights requires involvement from both business and IT. Identifying a transformation driver and a sponsor are key in ensuring that a business process transformation can be successful and sustainable. Additional stakeholders from IT and business will often be required during the analysis and especially when implementing process improvements.

Whereas you can use SAP Signavio Process Insights in an exploratory manner to get an overview of your process performance, you might also have a use case in mind driving your process improvement efforts. This might be to achieve process harmonization and reduce data migration cost as part of an SAP S/4HANA transformation, improving working capital or increasing process automation:
