SAP recently held its second Hyperautomation webinar series, during which I had the opportunity to demonstrate how users can easily automate sales order creation in SAP S/4HANA with the help of SAP Intelligent RPA.

As you may know, creating a sales order requires entering details into the system on a day-to-day basis, which can be a time-consuming routine and mundane operation. On top of that, the data can come in various formats, making the task slow and error-prone. The good news is that this is exactly the kind of process that can be easily automated using SAP’s low-code / no-code tools. Let’s take this scenario as an example for building an automation from scratch.


What does the process look like? In our example, a bot opens the Excel file in order to get the data. Then it logs into the SAP system and opens the dedicated transaction to enter the sales order data. After the bot enters the data into the system, a sales order is created and assigned a number, and the user is notified.

What you will see in the demo is how the bot designed and built with the help of our low-code / no-code Cloud Studio, how it can be locally executed with the help of the Desktop Agent, and how it is orchestrated in the Cloud Factory to work with Excel files, third-party systems, and web portals.

The demo also highlights another important tool that allows you to record all process activities on the SAP GUI and the SAP UI5 level without having to drag and drop them every time you build a bot. This tool is called the Recorder and it helps you save considerable time because all you will need to do is just click the record button and then do what you normally do as a business user: navigate to screens, fetch the data, enter the data, and so on. The Recorder will capture everything and then export it into the bot workflow.

The Recorder makes it easy to collaborate with other developers. After you record a workflow, you as a business user can hand it over to the IT department for some refinements or adjustments, such as changing hard-coded values to variables, for example.

Finally, as mentioned above, the demo also shows how you can orchestrate the bots you create and monitor their activities using SAP Intelligent Robotic Process Automation Factory (or Cloud Factory).

With SAP Intelligent RPA, you not only have the ability to create new custom bots within a low-code / no-code development environment, but you can also reuse and utilize existing pre-built content best practices from SAP and SAP partners.
