Hi There!  Thanks for checking out my blog.  As a Solution Manager Architect, I spend a lot of time implementing ChaRM for clients… and with lots of clients come lots of customizing requests!

I will be writing a series of How To’s, based on real world situations and requests.  Hopefully they will benefit you as much as they benefited our clients!

My latest blog topic is based on improving the content logged in your ChaRM documents, for the purposes of meeting audit criteria, or simply for increasing visibility to the changes made to each document, from categorization schema, business partners, even custom created fields.

 

WHAT:  This is a Federally Validated customer with strict audit criteria, They're working to move away entirely from their paper trail managed across the Globe to a more streamlined single point of entry using SOLEY ChaRM within Solution Manager.  This client has been live with ChaRM for a few years now as an initial project, this was Phase 2 of their solution.

HOW:

Prerequisites: 

We have created some custom fields already for this client, and want to ensure they are captured in the change log of the document.

Digital Signatures were already configured for this client in the RfC and the Urgent Change document types, to capture the Approvers username and date/timestamp of the approval.

Meetings were held to identify the content that was required to be included in the change documents, of each type: Request for Change, Normal and Urgent Change.

1.)Custom Fields required to be tracked per document type shown below:

  • RfC:

  • Normal Change






  • Urgent Change




2.) Configuration Required

From UI:

  • Identify which custom fields you wish to include in the history, noting their Technical Field Name:

  • If you don't remember how to create custom fields for CRM WebUI, please see my other blog that goes into this detail 🙂



 

  • For each document type, From Assignment block layout configuration, add the Change History assignment block to your visible list on the right and save.



From SPRO:

  • SAP Solution Manager -> Capabilities -> Change Control Management -> Transactions -> Processing Log -> Define Change History for Processing Log





  • Make entries for your custom ttypes, and the custom fields you want to included in the history:


*Note these fields must be entered as new entries, with the correct Change document segment chosen

  • ZMCR (Request for Change)





  • ZMMJ (Normal Change):





  • ZMHF (Urgent Change):



 

3.) Results - Between the Processing Log and the Change History Assignment Blocks there is a more complete history of the content changes made to your ChaRM documents outside the already existing text log.

  • Request for Change





  • Normal Change





  • Urgent Change




 

Follow Up - Further configuration was required for searching on these custom fields, but I am not covering in this blog, maybe the next one!
