Subcontracting of equipment through maintenance order

We have multiple pieces of equipment for which we are performing third-party refurbishment under maintenance orders. However, this functionality is not available in SAP Public Cloud. Could you please provide a workaround for internal and external refurbishment/sub-contracting through maintenance orders?

Workaround for Internal Refurbishment

  1. Create a Maintenance Order with Refurbishment Type:

    • Use the refurbishment order type provided in SAP Public Cloud.
    • Define the equipment/material to be refurbished as a serialized material in inventory.
    • Set up valuation types to distinguish between refurbished and non-refurbished stock.
  2. Use Material Movement for Refurbishment:

    • Post the defective material to the refurbishment stock (e.g., using movement type 241).
    • After refurbishment, transfer the refurbished stock back to unrestricted stock using movement type 242 or similar, as configured.
  3. Cost Tracking:

    • The costs incurred during the refurbishment are captured in the maintenance order.
    • Perform settlement to the relevant cost center or equipment.

Workaround for External Refurbishment (Sub-Contracting)

  1. Create a Maintenance Order for the Equipment:

    • Generate a maintenance order and include the equipment to be refurbished.
    • Add a purchase requisition item for subcontracting under the order’s operation.
  2. Set Up Subcontracting Process:

    • Configure a subcontracting purchase order in SAP.
    • Include the defective material as a component to be sent to the subcontractor.
  3. Send Equipment to Vendor:

    • Use an outbound delivery or goods issue to send the defective equipment to the subcontractor.
    • Track the movement of the equipment using the subcontracting component process.
  4. Receive Refurbished Equipment:

    • Upon completion, receive the refurbished equipment back into inventory using an inbound delivery or goods receipt.
    • Post it to unrestricted stock or the relevant stock type.
  5. Cost Settlement:

    • Link the maintenance order to the subcontracting PO to track costs.
    • Settle costs to the relevant cost center or equipment record.
