Total Target Training Hours Requirement

Last year, we rolled out a training requirement where our employees must have 20+ training hours for the year whether that be SF, Percipio and external training.

The reporting is clunky and I have to pull various reports to have one report, users are adding external events that already received credit in SF for or are not adding their duration which requires me to follow up with them and the pain point list goes on.

A lot of is system limitations or user errors but I was wondering if any other companies have a training hour requirement and how you are managing this-tracking, reporting on this? What in SF are you leveraging?

This might be a tad late a question to ask - typically should be done at the time of the original implementation. But it's never too late to course correct, so here is what I would recommend going forward.

1. Ensure you go from 3 systems to 2 systems: SAP and Percipio are both formal systems, and so reporting is easier, if the system is fed the right information.   I will speak for the SAP/SF LMS - each time you load external history, since the duration (or credit) is an important field, do NOT allow your end users to load history by themselves, at least not yet. I would recommend a 2 stage approach below:

STAGE 1 (for at least a few months): Have a simple email template they need to fill out when they send you the information about their external training. It would include fields you need very importantly, such as (a) Course Title (b) Training Vendor name (c) Duration and/or Credit hours. Ideally you should create a reusable item for each of these courses, clearly identify a training vendor name, and then mark completion against that item. Some of my customers have created just 1 item for all external training, something I don't prefer because running reports becomes difficult, but that's an option too.

STAGE 2: I have seen customers over the years who have created items for external courses, and they allow end-users to mark completion against only those items. It needs some fine-tuning because it all depends on whether you have a good pool of reusable items (e.g. every year, a lot of users take the same training, so why not have 1 item for that training and everyone that goes to the training can mark themselves complete for that training). 

Hope the ideas above help, but it's a tall order for you since the system(s) are already working and change can be difficult. Let me know if you need more help/suggestions. Thank you,

Hi there- thanks for your comment. Unfortunately creating item IDs in SF is not ideal since its not the same trainings employees are taking. It's all different job functions. We currently have SF and Percipio and we have the percipio connector feeding completions to SF. Users fill out the external event request form that is route to manager for approval or denial so the email template to me would not be suitable.
