"open workschedule" without knowing which 5 days the employee will be working in a given week?

Dear colleagues,

From a company we were asked to see the possibility of having an open schedule from Monday to Sunday because the truckers do not know exactly if they work a weekend and free midweek etc, they are telling them on the fly.

I had thought that maybe a solution could be to do this, putting in the planned days that there are 7 days of 8 hours, but then in the fields of Average Hours per day and per week, put that in total makes 40 hours 5 days a week as I think these fields are where payroll collects the time (I'm not 100% sure, it would have to be confirmed by you).

So far so good, but there is a problem and that is that the time sheet does count the 7 days of 8 hours =56 total hours of work per week when using a time sheet.

This means that truck drivers would have to clock in and out for the 56 hours each week so that would be 16 hours per week considered as unexcused absence. Rather we would need some sort of "open work schedule" that we can use without knowing which 5 days the trucker is going to work a given week.

Is that possible in the EC?

Can we use the same concept of open workschedule for the below scenario:

Does the SAP SuccessFactors Time Tracking solution would be able to handle the below mentioned scenarios or does it require additional extension (product) from SAP store example like workforce.

Roaster Shifts Management


Scenario 1:

Eva Designation – Pharmacist (Regular EE)

1st Line Manager – Pharmacy Manager

2nd Line Manager – Retail Team Leader

Expected Working Hours/day – 8.5 Hrs


Pls Note: All the Leave/Overtime Requests must go through 2 levels of approvals hierarchy. When a pharmacist requests for Leave, it should reach the 1st Line Manager (Pharmacy Manager) to action then to the 2nd Line Manager (Retail Team Lead).

Eva is a pharmacist working for Medical Pharma store. Her shift timings vary daily, and work location vary on a weekly basis with half an hour lunch break daily. She works 6 days a week with variable week off day. Please find below her working nature as to how her schedule looks like every month:

· Week 1 -> Work Location – Medic Gulf – Abu Dhabi (24 hours Pharmacy)

* Day 1 (3:00 pm - 11:30 pm)

* Day 2 (10:00 am - 6:30 pm) – Visits the bank to deposit cash from 6:00pm – 6:30pm

* Day 3 (WEEKEND) – No Shift Assigned

* Day 4 (No shift assigned by the shift manager, but she works from 9:30 pm to 6 am)

* Day 5 (8:00 am - 4:30 pm) – Applies for 4 hours, 20 minutes of sick leave

* Day 6 (12:00 am - 8:30 am) – Comes 20 minutes early (at 11:40 pm) to the pharmacy and leaves early (at 8:10am) before 8:30 am.

· Week 2 -> Work Location – Medic Silicon Oasis – Dubai (24 hours pharmacy)

* Day 1 (4:00 am – 12:30 pm) – Forgets to Punch In, only Punch out.

* Day 2 (Public Holiday) – Shift Assigned by Shift Manager.

* Day 3 (5:00 pm – 1:30 pm) – Visits Head Office in between for 1.5 hours and then returns to the pharmacy. Leaves at 1pm and applies for 30 minutes of Sick Leave.

* Day 4 – Relocated to Another branch (Medic Al Jimi, Al Ain City) – 5:00am to 1:30pm

* Day 5 (1:30am – 10:00am) – Applies for 45 minutes of Annual Leave & approved by Line Manager. Comes to work in that duration and wants to cancel approved Leave.

* Day 6 (WEEKEND) – No shift Assigned

· Week 3 - > Work Location – Dubai Roaming (this means that Eva will be covering multiple pharmacies located in Dubai region. In this case, she will work on shifts based on pharmacy).

* Day 1 (4:00pm – 12:30am) – Forgets to Punch Out, only punch In.

* Day 2 (8:00am – 4:30pm) – Applies for 1-day Annual Leave. Wrong shift assigned mistakenly by the shift manager, needs to reassign correct shift timing (10 am – 6:30).

* Day 3 (9:00am – 6pm) – Goes for an External Business Event to attend conference.

* Day 4 (5:30pm - 2am) – Works 3.5 hours extra; Leaves pharmacy at 5:30am, Applies for 3.5 hours Overtime and Line manager approves instantly.

* Day 5 (11:30 pm – 8am) – Applies for 7 hours 10 minutes of Annual Leave and remains absent for the remaining day without any leave application.

* Day 6 (WEEKEND) – No shift Assigned.

· Week 4 -> Work Location – Medic Aswaq Mall (Shifts will be based on Mall timings)

* Day 1 (7:00am – 3:30pm) – Applies for Compensatory Off 3 hours for the 3.5 hours Overtime worked last week.

* Day 2 (WEEKEND) – No shift Assigned but comes to work from 7:00am – 3:30pm

* Day 3 (7:00am – 3:30pm) – Duplicate Punch while leaving. Punches again next min.

* Day 4 (7:00am – 3:30pm) – Absent, no leave applied for this day

* Day 5 (7:00am – 3:30pm) – Applies for Emergency Leave for 8.5 hours.

* Day 6 (7:00am – 3:30pm) – Arrives late to pharmacy. Opens the pharmacy @ 9am.

Hi,

As far as i know, Time tracking is not as flexible, it is basically time sheet with a "clock button" added to the product. For rostering and complex requirements you will need workforce or "higher level" software.
