Hi everyone
we have a legal entity that is now being merged into a different legal entity. I would like to transfer the employees without a termination and rehire so to not create a new employment ID.
The employment ID is mapped to all user accounts and accesses, and generating a new ID would mean we need to create new accounts for all these users. In addition, a termination entry is not really accurate for the situation.
Does anyone have some advice?
Thanks!
Julia

Hello Julia,
Is this scenario happening in a S/4HANA system? I understand the employee has stopped working in the previous legal entity and is now working in the new merged legal entity. I cannot comment from a legal point of view, but I think we are talking about two different company codes. In that case, the best practices are setting the old personnel number to inactive (as the employee is not longer working in the previous company code), and hiring a new personnel number for the new legal entity. These two personnel numbers should be in a multiple assignment scenario so both personnel numbers are linked together. In that case, the system will understand these two personnel numbers refer to the same employee (same human person).
Regarding users, in S/4HANA we have a simplified process and, due to auditing requirements, we only allow to have one user per employee. So, even if you hire an additional new personnel number for this employee, the user from the first personnel number is still be valid and can be used (for example, business users for loggingin fiori launchpad, or the HR CDS Views will still return the user). You can also assign the same user ID to the second personnel number, but we do not support having different user id in each personnel number.

Hi Fran,
not exactly, we have not yet made any changes to the employment of the affected employees.
The scenario is happening only in SuccessFactors only, we have not started replicating the data of the affected employees to our on premise SAP HCM yet. Our identity management has a connection to HCM. The users from the affected company were brought to our identity mangement manually before.
In SAP HCM we don't use the central person, instead we just re-activate old user ID's when users have a rehire. In SuccessFactors this is also possible as long as it happens within the same company. But in this case, we would need to do a transfer from company 2 to company 1 due to the planned merge. Now I would like to find a way to do this without generating new user IDs/new employments so we don't need to remap the user IDs in our identity management. If that wasn't needed, I would follow the best practise and simply do a rehire with new employment, unfortunately I don't think that's an option for us.
I'm also considering to purge the old data, but perhaps there is another way?
