Did you know that system administrators can turn on SAP SuccessFactors GenAI features themselves once 2 simple prerequisites are met ? In this blog we cover prerequisites, RBP steps (with screenshots) and AI Units consumption explanations for a successful start with SAP SuccessFactors GenAI features.

 

Prerequisites

  • Customers must have purchased SKU 8018592  “SAP AI Units material code” through their Account Executive (SAP internal note: navigate to Cloud Reporting then search for SKU number which should appear if purchased). Customers must have also signed the T&Cs with their AE (Notes: T&Cs for GenAI are different than T&Cs for Joule. Also be aware that there are other SKUs with a different name that have AI in their title for example “AI technical material” but only SKU 8018592 will work properly)
  • The environment where GenAI is about to be permissioned/activated must have the checkboxes below checked in Provisioning > Company settings (this can only be done by SAP Provisioning teams). SAP internal note: If a few days after purchasing AI Units with SKU 8018592  the below checkboxes still aren’t checked then escalation must be made by email to SF Provisioning team (or reach out to me or anyone from SAP AI Adoption team (Leads: NA: Parul Luthra / EMEA: Jenny Geipel / APJ: Premanandhan Natarajan). Please also note that the latest version of each module is required for GenAI to work.
    • Enable AI-Assisted SAP SuccessFactors HCM Content Generator
    • Enable AI-Assisted SAP SuccessFactors HCM Skills

 

Step 1

  • Access "Manage Permissions Roles"
  • Grant "Manage AI Capabilities" to Super Admin role

  • Log out / Log back in

 

Step 2

  • In Search for Actions type “AI Services Administration” page then turn on AI features as per screenshot below. If you don’t see “AI Services Administration” in Search for Actions  after several hours then have SAP Support or a certified consultant run a RBP Refresh from Provisioning > Company Settings.

  • Log out / Log back in 

 

Step 3

  • In "Manage Permission Roles" find the "Employee on Self" role (or create a new one for only some employees/testers) then in “User Permissions” select “AI Access”. If you don’t see “AI Access” section even after several hours then have SAP Support or a certified consultant run a RBP Refresh from Provisioning > Company Settings.
  • Grant permissions for the right AI feature by checking the right boxes.

  • Log out / Log back in
  • Proxy as an employee who is part of the role you granted AI Access permission for and you can start testing Gen AI features.

 

How to track consumption

  • Consumption dashboards in SAP For Me get updated daily overnight (allow 24 to 48h for data to show after initial setup) and show AI Units consumption from all environments where GenAI features are used (any environment with GenAI features being used is billable). The dashboards only show GenAI features consumption of AI Units, not Joule (as of 1/1/2025 Joule consumption of AI Units is only available through a report that can be requested by customers to their SAP CSM).
  • More information on the SAP For Me > Business AI dashboards can be found in this video and in the screenshot below.
  • As of 1/1/2025 SAP for Me doesn't yet have a capability to do individual tracking of the number of goals created using AI vs not using AI nor individual user-based consumption tracking. However as can be seen in the screenshot below the SAP For Me > Business AI dashboards provide the breakdown of AI Units consumption by GenAI feature. A list of all dashboards with description can be found here. As of 1/1/2025 it is also not possible in Reporting to distinguish between content that was manually written by a user and content that was suggested by an AI and subsequently validated by the user ? SAP SuccessFactors product teams are aware of this enhancement request.
  • If customer is still seeing an error message ("You either do not have AI Units yet or your AI Units are not visible in the dashboard at this time, please check back soon") in the SAP For Me > Business AI dashboard 2+ days after activating GenAI features please see this KBA for possible explanations and create an incident to support. 
  • To understand AI Units consumption better, please see in the screenshot below the concept of 1 A4 page = 0.007 AI Units. To find out how many words are considered in an A4 page we advise customers to copy paste a sample job description from their environment into a A4 Word document with standard margins and line spacing = 0 (copy the job description several time until bottom of A4 page is reached) then use the word count feature. Please always check back with an SAP CSM for confirmation of the current list price for 1 block of AI Units.

  • Joule message consumption – Is it separate than AI Units ? 
    • AI Units are allocated separately as part of Joule vs GenAI activation but their consumption is connected as per example below:
      • As of 1/1/2025 when Joule is activated AI Units are allocated to each customer at no cost through SKU 8017178 based on number of users in the SuccessFactors environment.
      • In order to turn on GenAI features customers must purchase AI Units through SKU 8016532 (prerequisite)
      • If customers that have both Joule and GenAI use all AI Units allocated through SKU 8017178 (Joule) then SAP will take from remaining AI Units allocated through SKU 8017718 (Gen AI) for billing purposes.
