SAP Success Factors has come up with a very effective, easy to configure and maintain cloud solution i.e EC Time Off. TIME OFF as the name suggests, is related to booking “time off” for an employee. The entire procedure – from booking the time, to getting it approved and reporting the time absence – is well catered through the single Time Off solution.

SF Time Off is made simple and which fits to all Country solution. If you consider Sweden Country, it has a Vacation leave /Time type that has 2.5 days accruals per month. If the Employee joins in between of the month then it should be prorated based on number of calendar days left for that month.

It is a policy in some of the organizations in Sweden that Employee should not be able to take the leaves in the first year of the Bookable Period in spite of accruals generated every month. They should be eligible to take the leaves from second year of Bookable Period.

This scenarios can be achieved for Sweden by creating a Hire rule to generate accruals on prorate based for that month, Accrual rule to generate 2.5 days monthly, Take rule to block Employee not to take this leave for the first year of Bookable Period, Period End Process rule to transfer all the balances to next year bookable period.

Employees get each month some amount and they can take only the number of days that is on their account from second bookable period after running Period End Processing rule.

In-order to complete the above scenario follow the below steps:

Step 1:

Create Sweden Hire Rule, Accrual Rule, Take Rule, Period End Processing Rule.

a) Hire rule for Sweden:

Accrual should be generated based on the prorate from Hire date to end date of Hire month. In simple, number of days left for that hire month from the hire date. Most of the consultant find tough to fit this in the hire rule.

Below rule can be used, where 2.5 days accrual of the month are prorated based on the number of days left out for that hire month.

 


 

 

b) General accrual rule for Sweden:

For this scenario 2.5 days per month are generated using the below rule. Its a quite simple rule.

 


 

c) Take rule for Sweden region:

Below rule can be considered to block Employees not to take this leave for the first year of Bookable Period.

Not only for Sweden Country but most of the other Countries also coming up with this requirement so that Employees cannot take the leaves for the first year.

 


d) Period end processing rule:

The below rule can be considered to transfer all the left out balances to the next year Time Accounts and close the previous year Time Accounts for Vacation.

 



Step 2:

Create Time Type for Sweden Vacation.


 

 

Step 3:

Assign Take rule that has been created in Step 1 to Time Type.


 

Step 4:

Create Time Account Type that needs to be Assigned to Vacation Time Type that has been created in Step 2.

Also assign the Hire Rule, Accrual Rule and Period End Processing Rule to Time Account Type which has been created in Step 1.



 

 

Step 5:

Assign Time Account Type that has been created in Step 4 to Vacation Time Type.


Now Vacation Time Type for Sweden is ready to use by assigning to the concern Time Profile of Sweden.

So this suites the solution in EC Time Off for Sweden Country Vacation.
