Insert active statement in a Word chapter: depending on the values of the Sales account for 2 periods, automatically adapt the sentence:
'the sales have decreased from 100 to 90' or ''the sales have increased from 90 to 100'
In the statement above, ‘decreased’ or 'increased' is a field, 90 and 100 are bookmarks.
STEP BY STEP PROCEDURE
1- Type the sentence 'the sales have decreased from ... to ...'. Fill the spaces with Formula fields
2- Highlight the first number – add as a bookmark (on the ‘Insert’ Ribbon) – in the present case, this is ‘StartNumber’
3- Highlight the second number – add as a bookmark – in this case, this is ‘EndNumber’
4- Highlight ‘decreased’ and select ‘Quick Parts’ … ‘Field’ (also from the ‘Insert’ Ribbon)
In the ‘Fields’ window, scroll down and select ‘If’
Click on the ‘Options’ button at the bottom
Select ‘EndNumber’ and click the ‘Add to Field’ button
Type ‘>’ and hit the space bar once
Select ‘StartNumber’ and click the ‘Add to Field’ button
You can put multiple words for the field by putting the text inside double quotes: “gone down” or “reduced from”…
5- Once you are finished, and want to play with the result:
Change your numbers
Highlight the increased/decreased field, right-click and select ‘Update Field’ – the text will change according to the numbers you have entered.
You can also change the formula by right-clicking and select
‘Edit Field…’.
6- In order to visualize bookmarks and fields while designing your document, go to Word Options then Advanced. In the Show
Document Content section, verify that the check box ‘Show bookmarks’ is ticked and the Selection box ‘Field Shading’ is set to Always.
