I was already proposed this solution to users but they look to possibility maintain manually as there is no option to keep Responsible on Evaluation Group. In fact this will always require to maintain configuration before select appropriate Responsible.
Yes, that is actually the consequence of maintaining the evaluation group. On which, the advantage of maintaining the configuration everytime there is a new Responsible Person is that the value for that field will become consistent. That means, if it is a username 'BULLJOHN' with text description John Bull, when you look at the Asset Master Data table on field evaluation group, the value for all the assets where John Bull is the responsible person, will always be 'BULLJOHN.' If it's going to be a free text, sometimes the asset master data custodian will type in 'BULL JOHN' or sometimes 'BUL JOHN' or sometimes 'BULL JHON'. That is one disadvantage of free texts. You won't be able to filter all the assets that are under the responsibility of the same person John Bull.
You may try to present this fact to the users that they may consider that SAP actually limits the free texts on the useful fields that you may use on reports.
