Hi there,

We are developing a way to clear our documents in order to

improve the data quality of our Liquidity Planner system.

The clearing is currently made with lots of documents together (credit

and debit) through F.13, using BLDAT field. That is a situation we call

N:M in LP system, and it is not suitable for us. We are trying to find

a way to clear the documents 1:M instead of N:M, we would like to clear

just 1 document on debit against 1 or more (M) documents on credit in

the clearing bank accounts.

Nevertheless, we are not finding a way to put these documents together,

and we would like to know if you guys know how we could make it work.

It is important to add that we are developing a logic to make it work

automatically, similar to F.13.

Many thanks,

Paulo.

You'll have to first find out which field is common for your debit and credit lines. Unless you find a common value, it is not possible to identify the documents. You should also ensure that the sum of credit amounts match the debit amount. The field might be a Reference field or Assignment field which should contain identical values in both the debit and credit lines. You can also try the Bank clearing date / value date, though this might vary sometimes.

Hi Ravi,

Thanks for your answer.

Nevertheless, there is no common field among them, that is the issue.

Is there anyway I could send you a file with an example?

Kind Regards,

Paulo.

Hi

I have done the following previously. In this case ALL the documents in the account had to be cleared, but if not, extract all ones to be cleared into excel. Total all the documents. Pass a Journal entry debiting the account with say 6 000 000.00 and credit the same account with the same figure 6 000 000.00. No effect on FI.

Then use F.13, select the debit or credit 6mil entry and select ALL documents excluding the opposite entry of 6 000 000.00. Clear them by saving.

You will then be left with one open line item for 6 000 000.00.

Hope this helps

Kind regards

Dawn

Hi,

Without a common field to use for the matching you can not use F.13.

Since you mention a 1:N Debit to Credit, why not do the clearing directly at the time of posting the debit?

To assist in the open item selection, you could possibly use "Payment Advices" to pre-group the credit items.

Kind regards

Hi Dominic,

Thanks for your help.

Could you possibly give me more details of how I can pre-group the credit items which match to the correct debit item?

I am not very familiar to the clearing methods.

Kind Regards,

Paulo.

Hello Dawn,

The thing is, I do not want to clear all documents at once, for example, if I have the situation below.

Bank Clearing Account

PK Amount

50 100-

50 130-

50 150-

40 50

40 80

40 60

40 40

40 140

40 10

Total 0

I need to clear them separately

PK Amount

50 100-

40 60

40 40

Total 0

PK Amount

50 130-

40 50

40 80

Total 0

PK Amount

50 150-

40 140

40 10

Total 0

Hope I could explain our need.

Best Regards,

Paulo.

Unless you determine a basis for identifying the documents to be cleared, auto clearing is not possible. In that case, your only option is manual clearing like F-04.
