PA03 - Payroll Control Record

Hello Experts,

Our HR and Payroll departments wanted to set the "Earliest payroll acctg period" forward.  We changed it in DEV and we changed it in QAS without any problems,  The modification changed the status from "Exit payroll" to "Changed new".  So, before we changed it in PRD, the Payroll department ran the payroll and completed the payroll. The status was "Exit payroll".  Then we changed the date.The status now said "Changed new", but we expected that.  We also expected to not have any problems, but payroll forgot to post the payroll to the G/L.  So after we completed the change in PA03, the posting of the payroll to the General Ledger wanted to change the posting period by going to the next period before it posted.

We still need to post the payroll to the General Ledger, but we need to correct the PA03 first by setting the status to "Exit payroll".  Remember this is PRD so we can't get too creative with experimentation.  Any ideas?

After taking note of it's settings, delete the Payroll Control Record for the affected PAA.

Then, re-create the Pay Payroll Control Record but setting the Payroll Period to the previous one.

Next, you will Release Payroll for that PAA, therefore increasing the PP by one to the one you need to transfer to FI/CO, and check what employee numbers are listed in the "Incorrect pers. nos." list.

For each of these employees, you will need to uncheck their "Payroll correction" box in IT0003 (after taking note of their "Earliest MD change"  date, and then immediately Exit Payroll.


After doing the FI/CO transfer, once you Release Payroll for that PAA, you will have to manually force retroactive calculation for the employees whose IT0003 you modified.

P.S.: Note that you should be able to post to FI/CO the results of the past Payroll Period without having to do anything to the Payroll Control Record, and that even if you have "Released Payroll" for the next Payroll Period.

Thank you Remi.

Your answer is correct.  However, on our system, PRD will not post payroll unless the status in PA03 is "Exit payroll".

For that PAA, the next time that it's status is "Exit Payroll", you should be able to do the FI-CO transfer that was forgotten previously.
