Initial inventory upload- cutover activity

How the cut over is handled for the following case-

1. goods are received before the go-live date and invoice will be received after go live. Goods ordered in legacy =100 qty, received before go-live =100 qty. Invoice received after go live = 100 qty.

What will be the accounting entries and which accounts will come into picture. how the vendor invoice will be booked, as there will be no PO for it ?

2. Partial goods are recd before the go-live date and the balance qty will be recd after go live.

for example Goods ordered in legacy =100 qty, received before go-live = 50 qty. balance Qty recd after go live = 50, Invoice received after go live = 100 qty.

Is this approach right , if we create PO of the balance qty 50 in SAP, do GR for 50 pcs. if the vendor send a single invoice of 100 qty, we do MIRO for 50 qty only, how we will then handle the invoice verification of remaining 50 qty?

Please advice me of the right strategy that need to be adopted for initial upload of inventory. If I missed any other scenario that could be possible please do advise on that.

Hi,

Before uploading stock, 1st fix a strategy for cut over phase. Quantum of stock need to be uploaded with MB1C( which are very much present like raw material, finished product, semi finished product and other materials with material types) with their values. Then check PO at three levelu2026u2026.PO at PO level, PO at GR level and PO at invoice level.

For 1st phase, keep all material list ready and create a new document type WZ(a copy of WE) and assign to both MB1C t.code and MIGO_GR t.code in OMBA t.code and save. Now as planed upload materials with MB1C and it will update accounting documents ieu2026. Inventory Raw A/C-Dr and Initial upload Raw A/C-Cr( in case of raw material, for other material type, it will update respective inventory account).For 2nd phase, now upload all open PO ,3rd phase do GR for open PO for GR(accounting documents ieu2026. Inventory Raw A/C-Dr and GR/IR Clearing A/C-Cr) ,4th phase do MIRO for all open PO at MIRO level(accounting documents ieu2026. Vendor A/C-Cr and GR/IR Clearing A/C-Dr).

Once you finished all good movement with other activities, then assign WE document type to both t.codes MB1C and MIGO_GR in OMBA t.code and save.

Stop payment during cutover phase, once you live, then you can have your real transaction with your system.

Note: You can also have other options during cut over phase for uploading masters,stock, G/L balance etc depends on the project and project duration..Have consult with FICO consultants.

when you load inventory, then you should load the quantity that is present.

in your case 1, you just post the invoice in FI without reference to a PO and pay your vendor.

in case 2 you may have to split the invoice and post 50 with MIRO against the new PO, and the other old 50 without reference thru the finance transaction.
