I am working on configuring Purchase Requisition (PREQN) workflows in SAP S/4HANA Cloud Public environment and need some advice.
I have a specific requirement where, if a workflow remains idle without approval or rejection for 72 hours, it should automatically escalate to the next manager in the approval hierarchy—not just send an email notification, but actually move the workflow to the next level.
Apart from the user remembering to set themselves with a nominated substitution before going on leave (substitution rules) is this at all possible ?.
By the way I have now added this to the Improvement Request Details - Customer Influence (sap.com) so please please vote in the affirmative if you believe this would be beneficial to you. Thanks !.
I would hope to see another option other than mark as overdue and send an email - to be Forward onto Next approver step.
Hello @peter_munt4,
Correct me if my understanding is incorrect!
So if the approver is not available due to any reason, either workflow should move to next level or should go to someone else.
Now what is available currently.
- If the assigned approver is missing due to leave or anything and nothing happens even after sending notifications then it can be passed to someone else based on 'Create and Manage Substitution Rules'. Refer to the below.
- Then the second person either can approve or push it to the next level.
- Additionally, concept of situation handling can be utilized where in you can build your own template and notify any particular or group of user based on your own filtering to process such request. Kindly explore the concept behind that.
Thanks and Regards,
Vijayendra

Hello @peter_munt4,
User can set up accordingly for planned and unplanned substitution, check the link below. This is the only possibility as of now.
Otherwise, check for creating a situation template as referred to you in my last reply.
Thanks and Regards,
Vijayendra
