GR/IR Conversion issues

Hi Experts...

We are going through conversions of GR/IR accounts i.e. assigning new accounts for GR/IR Clearing. Can anybody tell me what are the steps to perform this activity efficiently. FYI - some PO's are still open that is not yet invoiced, how system will take care of this if GR/IR account will be changed.

I am guessing that when you are saying open PO's ( that goods or services are received) - I guess you can simply Dr the GR/IR account and Cr the new account you are trying to create for all the open items in the GR/IR account ( Open items in the sense that PO's for which goods and services are received.)

Also, i am guessing the reason for you to create ne GR/IR accounts is also to split your goods and services into seperate GR/IR accounts ? If not, if you can let me know the business decision - we can find some better scenario for doing this.

Hi,

The business is refining the number range of GL accounts because of which we need to change the account number.

GR/IR a/cs are always autopost also I we post manually it could be an issue with the auditors.

Let me know the best way to cope up with the situation.

Hi,

Changing the GL Accounts for automatic posting like GR/IR and Sales Revenue etc. is quite crucial and risky. Taking GR/IR Account, it will be difficult to make the account balance zero and also ensure that for all GR's received corresponding IR is also received.

If the changing of the GL Account is inevitable, it needs to be handled very meticulously. Some of the points which needs to be considered are:

1. A cut off date has to be arrived - preferbly fiscal year end or atleast month end date.

2. Make the GR/IR account clean by clearing off all the open GR's and IR's.

3. Identify and list the GR's for which corresponding IR is not received. These open GR's need to be carried to new GL account. Similarly, there is also possibility of IR is posted but GR is not posted, these line items also need to be carried to new GL Account.

4. In case of open PO's for which no GR and IR is posted should not be a problem.

5. Make the change when users / transactions are being posted and transport to production system.

Lastly, I am curious to know whether any upgrade / reimplementation is being done in SAP or is it just a clean up and redesigning of GL Accounts?

Hello

Repost all the line items in the old GR Ir account to the new one and then change the setting.

after the change in setting, only new account will be picked. Am quite sure, because we did this.
