change correctly the COGS for A/P Invoice error (after A/R Invoice registration)

Hi,

I inserted in SAP an A/P Invoice with these items:

Item 1 - Inventory item - Line total 1000

Item 2 - Inventory item - Line total 100

Item 3 - No inventory item - Line Total 10

Then I registered an A/R Invoice with the same items:

Item 1 - Inventory item - Line total 1500

Item 2 - Inventory item - Line total 150

Item 3 - No inventory item - Line Total 30

For the inventory items the warehouse is 0 after the A/R Invoice.

Now I see that I registered the A/P Invoice with an error. The first line is not 1000, but 1100.

How can I change the line total, moving correctly all accounts?

I thought to do before the A/P Credit memo (in the same date of the A/P Invoice wrong) and then the new correct A/P Invoice with the same date.

In the following order to avoid the inventory under 0.

But this solution have problems for the cogs account, because all inventory items with the credit memo move only the inventory account.

What can I do?

If you credit the AP Invoice the stock will go back in so the COGS should correct.

Try by creating your AP Credit Memo, then right click> Preview Journal Entry before adding to confirm

I already made the check in journal entry and now I say to you what I don't understand.

In the JE I have in first AP Invoice this situation:

Vendor - Credit 157,700 $

Inventory - Debit 156,500 $

COGS A - Debit 1,200 $

COGS C - Debit 0 $

Then I made the AR Invoice with this JE:

Customer - Debit 201,805 $

Sales revenue B - Credit 191,465 $

Sales revenue A - Credit 5,640 $

Sales revenue C - Credit 4,700 $

Inventory - Credit 156,500 $

COGS B - Debit 156,500 $

For me in this moment the situation is correct. But I see that the AP Invoice have the incorrect amount and I make first the new AP Invoice (to load the warehouse) and then the Credit memo from the old AP Invoice.

The JE of new AP Invoice is:

Vendor - Credit 180,000 $

Inventory - Debit 179,000 $

COGS A - Debit 1,000 $

COGS C - Debit 0 $

While the JE of the Credit memo is:

Vendor - Debit 157,700 $

Inventory - Credit 179,000 $

COGS B - Debit 22,500 $

COGS A - Credit 1,200 $

COGS C - Debit 0 $

My question is, where are 22,300 $ that are the difference in the invoice to COGS?

Must I do a manual JE from Inventory to COGS? If I make this, I have the same value in audit report (for inventory) and in the inventory account (balance sheet)?

Are you copying the credit memo from the first AP Invoice, or creating it as stand alone?

There must be a difference in the item cost between the documents.

You can manually enter an item cost to be used in a credit or return document, which should help you to align your COGS entries
