From my own experience, I know how much effort is involved in processing visas and permits. In many organizations, this process is often done manually. What are the Q3 Release Highlights?


It is already August and we are going to deliver our Q3 2018 Visa and Permits Management release, which has some great enhancements for you! Let me give you a short summary of the highlights:

In this release, we’ve added enhancements to simplify and improve the employee experience and to optimize HR service delivery options, such as new notification features, a new dashboard for HR professionals, the ability for employees to process their dependents, new data query and export options for transactional data, new advanced cost analysis functionality, and new connectivity options for business-to-government (B2G) activities.

Let´s go more in detail of each new capability.

 

Notifications enhancement

The new Notification feature is highly configurable that helps to automate the process of notifying different stakeholders (e.g. recruiter, job applicants, etc.) in case of any pending, overdue or about-to expire documents relevant to their visas or permits or any task within the process itself. This new functionality helps to increase the process efficiency in Visa and Permits Management.

 

Dashboard Reporting enhancement

The new Dashboard Reporting enhancement enables admins and system users to obtain statistical and analytical information about Visas, Permits, or milestones by processes and status. It can be shown in graphical presentations to help better interpret the data. The new Dashboard Reporting helps to increase insights into the Visa and Permits processes.

Employee Experience enhancement for dependents

This new functionality enhances the existing capability of managing employee dependents’ visas and permits. This enhancement enables employees to inquire and retrieve the details related to their dependents’ visas or permits as part of the employee self-service features. This new functionality helps organization to increase self-service capability and reduce administrative efforts.

 

Enhanced Search Engine

With the advanced search and inquiry functionality we will help system users to search any of the displayed fields and extract all transactional data (permits, milestones, assignments) outside the system for further processing. The new Enhanced Search Engine allows data usage outside the Visa and Permits Management solution.

Advanced Cost Analysis

We´ve made improvements in the area of reports and analytical functions. This new functionality enables detailed analysis for the captured cost (expenses) for the visa and permits process on different levels for the legal entity. This new enhancement helps to analyze costs (Expenses) related to the visa and permits process.

 

Availability of APIs for 3rd Party Integration

With the Q3 release we made a list of APIs available to allow integration with 3rd party products and authorities and facilitate the B2B or B2G communications. With the APIs we enable organizations to optimize Visa and Permits processes by integrating 3rd party solutions.

Visa and Permits Management in the context of an example for the H1B Visa in the US


Now that I've shown you the new enhancements of the Q3 release, you may ask how the solution can help my organization in the context of Visa and Permits processes. Here is an example of how the solution can help solve H1B Visa in the US.

 

The US H-1B visa is a non-immigrant visa that allows US companies to employ graduate level workers in specialty occupations that require theoretical or technical expertise in specialized fields such as IT, architecture, medicine, etc. Any professional level job that usually requires you to have a bachelor’s degree or higher can come under the H-1B visa for specialty occupations. Due to the complexity of the processes, a lot of companies deal with third party vendors to process all their candidates and employees’ non-immigrant visa requirements.

 

What are the major challenges that currently companies are facing with most of third party vendors?

The tracking of the processes is a major challenge for most companies due to the following reasons:

  • Difficult to monitor visa status and notify stakeholders on process if it has been completed or updated as it´s not in a single solution.

  • Duplicate of manual entry in different systems for employee’s visa application by managers, administrators and agencies or even employee him/her self.

  • Quick data accessibility to be able to create ad hoc reports on demand, e.g. on Status, Visa expires, etc.


 

How does SAP Visa and Permits Management help solve such challenges?

It is very important to bear in mind that SAP Visa and Permits Management is the solution that connects companies and agencies, providing the ability to integrate with third-party solutions, such as agencies, and allow push and pull data between the two systems avoiding duplication of data entry.

The solution has the capability to support all different kinds of tracking and monitoring phases of the visa processing. Customers will have the flexibility to configure and setup all different monitoring requirements according to their needs. Customers can create notifications for any processes (Status or End Date) as well as the frequency to be notified (Daily, Weekly or Monthly). At the same time, notifications can be sent out to different stockholders, such as HR admin, Mobility team, Recruiters or Employees.

SAP Visa and Permits Management offers a full reporting Dashboard which will provide all the data required about the employee’s H1B Visa status and updates. In addition we can integrate the authority and agencies providing the H1B e.g. integration with Fragomen.

The dashboard gives the HR Admin and Mobility team complete visibility and the ability to search by filtering the fields in all different levels (Visa, Employee or Candidate, Processes and Agents). The search is flexible enough to set up multiple criteria providing more detailed information. As smaller agencies for H1B Visas may not have system access but must provide updates to their customers via e.g. Excel the solution will provide a mechanism to customers to upload and store all incoming visa related data via Excel Sheet.
