As a project manager, one of the key focus areas throughout the project lifecycle is mitigating and managing any potential risks. Defining a solid Risk Management plan will help identify and assess project risks and help ensure proper stakeholder communications. Addressing potential pitfalls in a timely manner will help alleviate any threats that might jeopardize the project’s milestones or timelines.

The SAP Activate Implementation Methodology has recently added two new accelerators to help establish a strong Risk Management plan. The Sample Stakeholder Management Plan and Sample Risk Register accelerators can be found in the task Define Project Communications and Reporting. Additional details for both templates are below.

Sample Stakeholder Management Plan

The Sample Stakeholder Management Plan  is used to identify the key stakeholders and document the level of power and influence they have on the project. This should be used proactively to communication to both the client and SAP stakeholders throughout the project lifecycle. Building the proper relationships will mitigate project risks and increase the likelihood of project success.

The template highlights key characteristics such as best communication method (e-mail, verbal, etc.), stakeholder commitment profile (resistant, ambivalent, neutral, supportive/committed), anticipated involvement, etc. Additionally, there is a Stakeholder Management Plan Matrix within the document.

Sample Risk Register

Using the Sample Risk Register will help manage risks in your SAP Activate implementation. It should be used to identify, categorize, and track potential and already identified risks in an organization or project that can possibly derail project deliverables and timelines. Any unidentified pitfall leaves the project exposed to unidentified, potential risks. The project team is unprepared to resolve a risk that has been realized.

Completing the Risk Register will help determine and calculate the PI (Probable Impact) score and highlight troublesome topic areas. Additional details should as responsible owner, response plan, risk impact, etc. are also tracked in the Risk Register.
