We are all aware of the need to protect data. It’s not just about keeping the financial results or numbers confidential. Personal data related to our business partners or employees and stored in our system deserves special care. In some countries it is also required by law. For that purpose SAP Business One introduced set of tools allowing you to classify various properties from different objects (such business partner master data, employee master data, etc.) as “personal” or “sensitive personal” and display encrypted values to be seen by non-authorized users. But what about User-Defined Fields (UDFs)? If your company uses UDFs for storing personal data, you can set these UDFs as “personal” or “sensitive personal” and protect this data as well:

The data entered in these UDFs will appear encrypted for unauthorized users. Note that this option is available only for user-defined fields of type “Alphanumeric” and structure “Text”.

The “Personal Data Management” window is available under the “Data Protection Tools” in Administration module. To activate protection of data privacy select the option “Enable Personal Data Protection Management” in Company Details window.
