The COVID-19 pandemic has brought new challenges to businesses across the world. The sudden relocation to home-based offices has reinforced the need for teams to work in an integrated and collaborative way without the possibility to simply knock on their co-workers’ office doors. Collaboration in 2023 takes place online. But an integrated and collaborative environment is fundamental for companies not only in times of a pandemic; it is the key to ensuring that all processes run smoothly, efficiently, and in harmony with each other. The disruption of this synergy bears a great risk; poor customer and employee experiences create a variety of issues such as:

  • Decrease in productivity for companies

  • Lower customer retention

  • Negative brand image

  • Frustrated employees

  • Lower productivity

  • Bad employee perception

To avoid this, it is crucial to optimize task management and team collaboration. Our fully-fledged cloud ERP applies advanced technologies such as artificial intelligence and offers innovations that allow companies to access and share information quickly and easily: They can optimize their processes and automate workflows, leading to the opposite scenario to the one described above. Our SAP CoPilot was first introduced with SAP S/4HANA Cloud, public edition 1705 as your digital assistant and bot integration hub for the intelligent enterprise for exactly this purpose, allowing you to interact with your peers as well as business apps on mobile, desktop, iOS, and external channels through one single interface by simply talking or typing and thus, increasing productivity and efficiency, reducing costs, integrating teams, facilitating the monitoring of processes, and providing data to help companies improve their performance. The ride we had with the SAP CoPilot during the past years was a great one, but, as you know, all great things must come to an end eventually, and make space for newer, more modern solutions–especially now that other IT companies are starting to invest in their own versions of a “copilot”. Following our credo to always be one step ahead of our competitors, we have come up with a new strategy and a worthy successor: Starting with SAP S/4HANA Cloud, public edition 2302, the SAP Collaboration Manager replaces the human-to-human collaboration functionality of the former SAP CoPilot. But there’s no need to worry: this new solution covers the same or, at the very least, comparable functionalities:

A seamlessly integrated collaboration experience that increases overall user efficiency.

The first release of the SAP Collaboration Manager in SAP S/4HANA Cloud, public edition 2302 offers a seamlessly integrated collaboration experience directly inside the SAP Fiori launchpad. It increases overall user efficiency through in-place collaboration features such as creating chats with and sending documents supporting various image types and video links to your peers. Your co-workers receive the message instantly and can begin to work on your request without any delay and system switchover. Additionally, the SAP Collaboration Manager helps you to keep up with your daily tasks by letting you store notes in your own private thread that is only visible to you–all you need to do is create a chat with yourself. And once you’re ready to collaborate, you can invite participants, who will be able to see all the content and contribute as well. Made a mistake? No problem–within a small timeframe of posting into the collaborative chat, you can easily edit your text as needed or use the ‘Undo’ feature to recall messages and actions such as adding screenshots. A real gamechanger.

It doesn’t end there–in the upcoming SAP S/4HANA Cloud, public edition 2308 release (and the 2023 release of SAP S/4HANA Cloud, private edition and SAP S/4HANA after that), we plan to offer a handful of new features that bring us close to feature parity with the former SAP CoPilot*. There will be many more capabilities which make for easy, user-friendly handling. Amongst other things, we will remove the need to close SAP Collaboration Manager before taking screenshots and enable the possibility to annotate, highlight, or conceal areas within them. You will also be able to find out which screen your screenshot was created from and link your chat to any screen in your apps for reference. If configured, you will be able to receive chat notifications on the SAP Fiori launchpad as soon as your co-workers invite you to a chat or send you a message. Additionally, we plan to offer an easy way to add objects based on your activity or from a catalog of objects (Q1/2024).

Beyond these peer-to-peer chat and sharing capabilities building on the SAP Fiori launchpad, we plan to enable the SAP Collaboration Manager to recognize the complete business context through context awareness and allow you to trigger quick and easy interactions in a future release.

Two products with two distinct functions united on the SAP Fiori launchpad.

Where the SAP CoPilot combined both human-to-human and human-to-machine collaboration in one product, we have made a clear decision to separate these two functions into two distinct products. The SAP Collaboration Manager covers one part of the former SAP CoPilot and will be complemented by another new product, the SAP Digital Assistant, which takes over the human-to-machine collaboration functionalities in late Q3/2023. This new product infuses embedded AI to SAP S/4HANA and other business software and comes equipped with the SAP Digital Assistant business capabilities for focused functionalities.

Now I have given you a lot of information about the SAP Collaboration Manager and what is planned with it, but how exactly can you get it? As stated before, the SAP Collaboration Manager is available as of SAP S/4HANA Cloud, public edition 2302. Although it comes directly with the subscription to SAP S/4HANA Cloud, public edition, some steps are necessary to activate it and leverage its functionalities. New customers running on SAP S/4HANA Cloud, public edition, three-system landscape will get the SAP Collaboration Manager by default and will no longer have SAP CoPilot. Customers running on the two-system landscape have SAP CoPilot and will be able to use SAP Collaboration Manager upon migrating to the three-system landscape. SAP CoPilot will still be available read-only in parallel until complete deprecation. But again, there’s no need to worry, as you will be able to export your SAP CoPilot content on request.
