Hello,

I would like to know if anybody has a SAP tutor document that explains how to configure the activty Management etc.

Dear Kumar,

Pls find the below info for Activities..

Use your own master data (or the Baseline Package scenario data if you have installed the SAP Best Practices Baseline Package) to go through the business process procedure.

Field name User action and values

Business Process Procedure

Creating an Incoming Call and Follow-Up Visit

Use

The Sales Representative receives an incoming phone call from his customer.

Procedure

1. Access the transaction choosing one of the following navigation options:

SAP CRM menu Activities &#61614; Maintain Activities

Transaction code CRMD_BUS2000126

2. Choose Create Transaction and choose Business Activity &#61614; BP Call Incoming.

You can configure your activity entry screen by choosing Settings… :

On General tab page you can choose min.locator.

3. Make the following entries at header level:

Desc Call according to campaign

Activity Partner <ACTIVITY PARTNER> Press ENTER to determine dependent partner function Contact Person.

Contact Person The system displays a list if more than one contact person relationship exists for the entered activity partner. Choose one contact person.

Sales Representative This partner function is determined from the relationship to the activity partner or the user. It is possible to change the partner.

Employee Responsible This partner function is determined by the user.

Actual Dates

From and To Check the dates. They are determined automatically and scheduled with the current time.

4. Make the following entries on the Details tab:

Status Completed

Reason Advertising Campaign

Note Customer is interested in product. A customer visit is scheduled. Enter a short note to provide all necessary internal information.

5. Choose Save.

6. Go to Calendar tab in the locator. Mark a day. Check if you have time for an appointment with you customer.

7. Create a follow-up visit for the saved activity. Choose Create Foll.-UpTrans in the toolbar and choose Business Activity &#61614; BP Visit with Prod.

Note: It is also possible to create an visit directly from the calendar. You only have to double-click a specific date and time. This creates a new activity. But there is no relation to the first activity.

8. All partner data and the description are copied to the new activity. You have to check the dates. Make the following entries at header level:

9. Make the following entries on the Details tab:

Go to your <CALENDAR>. The incoming call and customer visit are displayed (optional).

Result

The incoming call of the customer and a customer visit are visible in the <CALENDAR> of the Sales Representative.

Preparing a Visit - Modifying a Visit

Use

The Sales Representative has to prepare the customer visit. Some tasks are defined.

Procedure

1. Access the transaction choosing one of the following navigation options:

SAP CRM menu Activities &#61614; Maintain Activities

Transaction code CRMD_BUS2000126

2. Go to Calendar tab in the locator and double-click on your scheduled visit.

3. Choose Display/Change Trans.

4. Make the following entries on the Details tab:

2. Company Presentation

3. Product Presentation Enter a short agenda.

Additional Partners Contact Person: Go to tab Partner

Number

Product Priority Enter <PRODUCT> for example volume 10 Go to tab Activity Journals

It depends on your defined activity journal which fields and products are available.

5. Make the following entries on the Activity Journals tab:

Product Enter additional information for the product, for example volume 10 BP Activity Journal Template is chosen, by default. It depends on your defined activity journal which fields and products are available.

6. Go to the Partner tab to check the Partners.

7. Choose Save.

8. Create a follow up task for the saved activity. Choose Create Foll.-UpTrans in the toolbar and choose Task &#61614; BP Task.

9. Choose Display/Change Trans.

10. Make the following entries at header level:

Result

Preparations for the Customer Visit are in process. You find the task in the to do list and the visit in the calendar of your mail system.

Completing a Task

Use

A Task is an activity with internal character. The Sales Assistant works on it and completes it.

Prerequisites

You are logged on with the Sales Assistant user.

Procedure

1. Access the transaction choosing one of the following navigation options:

SAP CRM menu Activities &#61614; Maintain Activities

Transaction code CRMD_BUS2000126

2. Choose the Calendar tab in the locator and double-click on the task created in the preceding step.

3. Choose Display/Change Trans.

4. Go to tab Attachments and import the product presentation (you can import a dummy document).

5. On the Details tab set the status to Completed.

6. Choose Save.

Alternative Scenario - Mail System Integration:

1. Access your mail system and check your to do items.

2. Set status of to do item to Completed.

Result

All preparations for the customer visit are finished.

Adding Visit Details - Modifying a Visit

Use

The Sales Representative documents the visit information and creates a follow-up task to clarify details with product management.

Procedure

1. Access the transaction choosing one of the following navigation options:

SAP CRM menu Activities &#61614; Maintain Activities

Transaction code CRMD_BUS2000126

2. Choose the Calendar tab in the locator and double-click on your visit.

3. Choose Display/Change Trans.

4. Go to the Texts area on the Details tab and choose text type Report with Double Click.

Text Type: Report Customer visit was successful. The customer wants detailed information on the product. Product management should be involved.

Enter a short summary of the customer visit and possible follow-up activities.

5. Make the following entries on the Details tab:

6. Choose Save.

7. Create a follow up task for the saved activity. Choose Create Foll.-UpTrans in the toolbar and choose Task &#61614; BP Task.

Monitoring of Activities

Use

The Sales Manager has the possibility to check the activities of her Sales Organization.

Prerequisites

You are logged on with the Sales Manager User.

Procedure

1. Access the transaction choosing one of the following navigation options:

2. Go to the Worklist tab in the locator and make the following entries:

Creating Outgoing Call to Customer and Follow-Up Quotation

Use

The Sales Representative calls the customer to provide the required information for decision-making.

Procedure

1. Access the transaction choosing one of the following navigation options:

SAP CRM menu Activities &#61614; Maintain Activities

Transaction code CRMD_BUS2000126

2. Choose the Calendar tab in the locator.

3. Click on the icon.

4. Double-click on the Task created in the preceding step. (Product Management Information)

5. Choose Display/Change Trans.

6. Set the Status to Completed.

7. Choose Save.

8. Choose Document Flow and choose the BP Visit with Prod.

9. Create a follow up activity for the outgoing call. Choose Create Foll.-UpTrans in the toolbar and choose Business Activity &#61614; BP Call Outgoing.

Note: There are copied partners and description to the new activity. If there is more than one contact person maintained in the preceding document, you have to select the relevant one for the call.

10. Set the status to Completed.

11. Choose Save.

12. Navigate backwards to the BP Visit with Prod.

13. Create a follow up quotation. Choose Create Foll.-UpTrans in the toolbar and choose Sales &#61614; Quotation (or use your own transaction type).

Note: Partners and products are copied..

14. Select all products that should be copied to the quotation on the tab Item selection tab page and choose Copy.

15. Choose the General tab and set the status to Released.

16. Choose Save.

Alternative Scenario - Mail System Integration:

Instead of step 1-6 go in your mail system and set the status of the to-do item to Completed.

17. Then go back in your CRM system and edit your BP Visit with Product.

18. Continue with step 13.

Result

A Quotation has been created for the customer.

CRM Activities Analysis

Prerequisites

Open the End user role: CRM Analytics: I15_03U:

If you have already assigned the role to your user, choose User menu in the application toolbar of the SAP BW entry screen.

If you have not assigned the role yet, carry out the following steps.

1. In the application toolbar of the SAP BW entry screen choose Other menu.

2. On the Role Name (1) dialog box:

a. In the Single Role field enter I15_03U and choose Start search.

b. Choose Copy.

3. Expand the End user role: CRM Activities Analysis entry.

Procedure

1. Access the transaction choosing the following navigation option:

SAP BW Role Menu Role I15_03U &#61664; CRM Activities Analysis

2. Double-click the entry Activity History.

3. If the Enter Network Password dialog box appears, enter your SAP BW user name and password and choose OK.

The report shows the key figures analyzing the number of monthly activities for the employee per country per region.

4. To drill down per Calendar day additionally, choose Drilldown in the rows for the entry Calendar day in the navigation block.

To show the values for the selected Contact Partner, carry out the following steps:

1. In the navigation block, under Contact Partner, choose Filter Value.

2. On the Filter Value for Contact Partner dialog box after entering the desired Contact Partner, choose Find. Or, select the desired value from the available list and then choose Transfer.

In order to see a bar chart which displays the activities of the employee for several months, proceed as follows:

1. In the navigation block, choose Remove Filter for the entry Contact Partner.

2. In the navigation block, choose Remove Drilldown for the entries Region and Calendar day.

3. In the application bar, choose Bar Chart.

Result

The Activities Analysis for the key figures for the selected months is displayed.
