BW workbook and roles

Hi guru

I have a problem :

I have one role in PFCG for access from BEX to the query of an infocube.

Under this role there are some workbook saved by the user.

My question is : if I cancel the role all the workbook are lost ? Is there a Way to save the workbook and assign the workbook to another role ?

This is because I need to recreate the roles in PFCG for query access reorganization, but i'm confused on assigning the workbook to the new roles

If you delete the role, all workbooks withinh that role will be deleted. You can create one more envelope role and transport it to production and save these workbooks in that role. before delting the role.

Hi Antonio,

1. Please goto transaction PFCG

2. Select the role that you want to copy

3. Click on "Copy Role"

4. Give name of the new role where you want to save/copy the queries & click "Copy all"

5. Click on "Authorizations" tab

6. Click on Chnage Authorization button

7. Click on "Generate" button

The PFCG role would be saved along with queries

Hi Antonio,

If you are asking how to copy the role, you can use transaction PFCG and press SHIFT+F11

and follow instruction.

You can also take a backup on your desktop in case you want to revert back.

put the role name and press CTRL + F11

Sorry,

my question is : how can I copy a single/all Workbook from a Role to another ALREADY existing role ( no new role ) ? It is possible ? if yes how ?

Hi Antonio,

You need to add the Workbooks manually to already existing role. You cannot copy a role contents into already existing role

I have two roles Z1 and Z2

Z1 contain five workbooks ( w1,w2,w3,w4,w5 )

Z2 contain 1 workbook ( A1 )

The result I want is Z2 must containing : A1 + w1,w2,w3,w4,w5 (from Z1)

Z1 and Z2 are existing and actives.

Hi Antonio,

This is a very simple task , copy the role as per other experts steps

go to your original roles authorization data , see where the workbook is inserted in Z1 ( A1 )

in Z2 ( w1...... )

note down the authorization object where its inserted

take down the field values also from the original role.

NOte down

Authorization object

Field name --- values

Now come to your New/Copied role

Search for the authorization object

enter all the values that you need into this role against its field name.

Actually you dont need to copy roles too.....

just open the role Z2 , find where the A1 is inserted, then add all that you need next to A1

Anotonie,

Copy z2 role to Z2, for safe side.

Copy all the auth values from z1 role to z2 role. Make sure you will not change any auth values in z2 role,which are already present.

Now approach BW devloper, ask then to add workbooks to Z2 role.i.e ( w1 to w5)

Finally in z2 role u will have a1+ w1 to w5.

auth objects in Z2 role

S_RS_AUTH : add z1 role values & z2 values r already present

S_USER_AGR : Z2 only

ACTV : 01,02,22

S_USER_TCD :RRMX

S_GUI,ACT:

ACTV : 60

S_BDS_DS 03,30

class type OT

or

If your are copying the role

1. Copy Z 2 role to ZZ2 role.

2. In ZZ2 role add all the auth values from Z1 role,you can do it manually. (since we want Z2 to have A1 + w1 to w5)

3. Move ZZ2 role to production.

4. Now user should save the workbooks to the new ZZ2 role (same as Z2), how to give him access?

5. In S_USER_AGR : you will find Z2 replace it with ZZ2 .

6. Finally, user has access to new role zz2 and he can save workbooks ZZ2 role.

7. Go to the BI developer, ask him to save the workbooks (A1 + w1 to w5 ) in ZZ2 role, since you are security person, u dont know how to run the quey and save the workbooks in the role.

So finally ZZ2 will have A1 + w1 to w5

Hi,

You can copy menu items from a role in an other role. Go to to the new role and the menu tab, be in edit mode and choose from the right side to the option Copy from other roles. You can by clicking take over the menu options from that other role.
