Customize the layout of a customer invoice

This page describes a sample business scenario for generating forms in a layout as per a common business practice, or as required by the law. It provides information on how to use the extensibility features of SAP S/4HANA Cloud for this purpose.

Sample Scenario

You need to print a billing document in a custom form layout. The implementation sequence involves the download of a pre-defined form template, customization, and the upload and mapping of the customized form to an organization level. Finally, the form is assigned as a layout for the printing of a billing document in the selected organization.

Forms are of two types:

  • Master Forms

    A master form contains generic data that is common across most types of forms. For example, a master form for use in both sales orders and purchase orders. This is because there are commonalities between these two forms, such as a logo aligned on the top right corner, or footer information about company website, address, or contact data.

  • Content Forms

    A content form contains specific information, for example information about a purchase order. It contains basic information coming from the underlying master form, and additional information specific to the purchase order.

There are pre-defined templates available for master and content forms that can be reused and customized. You can also create customized form templates.

Note: Information provided in this document is as per features available in SAP S/4HANA Cloud release 1905. There might be variations to screen and field names in other release versions.

Implementation of the Extension

Download Form Template

SAP S/4HANA Cloud Launchpad - > Maintain Form Templates app

  • Download the required master or content form template from the Pre-delivered Templates option on the Maintain Form Template app.
  • Edit and customize the form as desired using Adobe LiveCycle.

Upload Custom Form

SAP S/4HANA Cloud Launchpad - > Maintain Form Templates app

  • Create a new Custom Template.
  • Specify the Data Source while creating the new custom template and enter other required information. The data source is the same as the data source of the form template that was downloaded.
    • Note: The value in the standard form template should match the value in the custom form template being uploaded. The value is that of the Data Source field, and it must match with that of the standard.
  • Upload the custom form template and specify the type of form.

Select Organization Level for Custom Form

SAP S/4HANA Cloud Launchpad -> Implementation Cockpit app

  • Configure the custom master or custom form at the required organization level.
  • Create a new entry for the custom form template that you have uploaded into the system and assign it to the relevant object types.

Assign Custom Form to Print Billing Document

SAP S/4HANA Cloud Launchpad - > Output Parameter Determination app

  • Enter the information required for assigning the form to a billing document. For example, select the following:
    • Billing Document against Show Rules
    • Form Template in the Determination Step
    • Output Type as Billing Document.
  • Specify the name of the custom form against Form template.
  • Activate the assignment.
