Workflow Buffer

Hi experts,

we are using ESS/MSS portal a lot which has lot of submissions and approvals. In the workflow system, if the approver has moved to different place in the org. structure, his unapproved work items are still in his box. New manager is not getting the work items, workflow still picks the old manager as the approver for the task.

would you recommend any transaction to approve previous manager's all work items? Then, i think, the workflow system will pick the new manager as approver for work items!

regards!

Hi,

try SWU_OBUF for buffer refresh. If that does not work ask the manager to open his inbox and let him refresh his organizational environment( menu: Settings => Workflow settings => Refresh organizational environment).

It is always advisable to approve all pending Workitems before any user's positions are changed.

Hi Steffen,

thanks for replying, We can not really go for your option because managers never log into R/3 system. Is there any transaction to do a system wide refresh of Organization Environment!

Hi Imthiaz,

We are currently following your suggestion. But looking for a better solution.

regards!

Hi ,

Well it seems SWU_OBUF will not solve the purpose here - either the ESS inbox of the new manager is not proparly configured or

if you want to use deadline monotering, you can do so bu choosing the deadlione monotering tab in various activities - for that you need to do proper delegation of the old manager to new manager .

You can configure the delegation in SWBP only.

Are the workitems sent to a user or a position? How is the agent determined, by a rule?

Try to give more info, so we can try to help in stead of having to guess.

Another way will be to forward all the workitems from the old managers inbox to the new manager's inbox by writing a report which will pick up the Old Manager's pending WI and forward it to the required manager. You can make use this FM SWW_WI_FORWARD.

Hope this helps.

Hi Martin,

The agent is determined by a position, not user. I logged in as the employees and executed the fm associated to the rule. It determines the position of the new manager. But still the work items are going to previous manager's inbox.

After you executed the agent rule, you could try to refresh the organizational environment. You can do this from the inbox. Go to Settings -> workflow settings -> refresh organizational environment.

Any tranaction is there to refresh the org. structure for all employees. Here, managers do not have access to R3 system. so, manager can not go to the above path to refresh org. structure.

Just try to refresh, because I don't think it is user dependant. So when you refresh it, it should work out for the other users.

there's report RHWFINDEXRESET which you can use and schedule in the background that will refresh the buffer.

Thanks

Hi Argadip,

Thanks for the reply. This kind of report what I have been looking for. I will try to set this as a background job and see if it solves our problem.

First: You can move the workitems by transaction SWIA.

The case, that the old mahager gets still all workitems seems to be an design-error of the workflow. May be, the tasks belonging to approval etc. are assigned to an user instead of an position or job.

After moving all workitems created in the past, please check the assignment of tasks.

Best regards
