Signavio to manage existing process documents

My organization is looking for a BPM tool to manage existing process documents that are in PDF format right now. Is there a way to import PDF in Signavio?

Please suggest a way to manage these documents in Signavio

We are using dictionary attributes (hyperlink on existing sharepoint) on diagram level to map existing documentation (PDF, VSD) to SAP best practice / SAP Singavio BPMN diagrams. And we explain users that existing documentation lacks by far SAP Signavio functionality.

Hi Neha,

In a similar situation, we have mapped the processes in Signavio referring to the PDF documents (we have not imported them) Processes in PDFs had limited information of role, task, which we had enhanced by adding additional attributes like whether it is automated or manual step, which IT system is the task performed, what are the documents that are inputs and outputs of that task..

Also in our case it was a global company and hence this excercise helped streamline the processes across geographies following BPMN notations, bringing the tasks closer to SAP best practice processes, leveraging dictionary to streamline the systems, tasks, roles etc.

Further we used this opportunity to get them approved by the Process Leaders and make them part of the change excercise using Collaboration Hub.

Hi Eknath,

Thanks a lot for your response. I want to understand how you migrated from PDF to Signavio. Was it a manual process or did you import after converting the PDFs to some XML file?

My challenge is that all the process diagrams (total 800) are in PDF and I'm struggling to migrate them. Doing it manually would be a huge task.

Please suggest.

In our scenario, we did this manually for 1100+ Processes and it took us around 8-10 weeks with 2 Signavio Process Consultants working full time. Out of 1100+ processes, we had similar processes across countries, so this exercise helped standardize the processes across and we were able to compare attributes such as the level of automation, process maturity among the various countries. At the end doing this exercise was worth the effort, as now we have all the processes on Signavio, always accessible to the Business stakeholders.
