MDG-F Change Request - Unable to see existing data of ERP

Hi Experts,

I am trying to configure Master Data Governance for Financials with NWBC as Interface. While creating Change Request using Data Model '0G' and statdard change request types such as 0G_001, 0G_002 and so on, I am unable to see existing G/L Accounts, Cost Elements, Cost Centers and Profit Centers. However, it does display list of 'Chart of Accounts' and 'Company Codes' which are present in ERP System.

(A screenshot is also attached)

I am following standard configuration steps given on SAP help portal. Please share your experience.

Hi Hanif,

What version are you using: EhP5 or EhP6?
Did you already perform any data loading steps into MDGF?


The info I post here is mainly for EhP5, most of the info is true for EhP6 too, but EhP6 can have some new enhancements, possibilities.


As far as I know in order to see data in MDGF, you need to load it first. I haven't done any initial data load yet, so I can't tell you exactly how it can be done. I'm only working with data available in the IDES system. But I would like to see a good thorough guide/explanation for this.
As far as I know the only way of loading data into MDGF is by File Upload: NWBC -> Distribution Monitor -> Services -> File Upload

It is important to know, that MDGF (Flexibility/Flex Mode - Generated Active Area) stores data differently (I think the main reason is the usage of Editions) than MDGM (Reuse Mode) or MDGS (Reuse Mode).
Also data loading is different: MDGF - file upload; MDGM, MDGS - file import.

MDGF Generated active area (flex mode): Tables as defined in the MDG data model (not in existing application tables) are used to store active data in the active area. Data distribution/replication must take place to make the approved data "live" (visible and usable in all your local systems).

If you are using Master Data Governance for Financials for the first time, you can use the File Upload function to populate your database tables.

File Upload: You use this to initially populate the FIN-MDM tables when going live.
File Download: This Web Dynpro application lets you download master data from the database tables that were defined in the data model for Financial Master Data Management to a local file in CSV format, which you can then use to upload the data to the transactional systems.
Example usage: Manual distribution of data from a central SAP system to local file stores.
Data Distribution: You can use this Web dynpro application to distribute the master data of released editions to other systems.

Hi David,

Thanks a lot for your consideration and detailled response.

We are on EhP5 and I am working in a Sandbox (a replica of our production system). As you said, Data must be loaded into MDGF first before any processing - it makes sense to me as well. However, when I tried loading data using File Upload: NWBC -> Distribution Monitor -> Services -> File Upload, it gives the following error:

No change request is assigned to you

Message no. USMD2137

Diagnosis

You must include entities that you process in the Master Data Governance (CA-MDG)
component in a change request. However, since there is no change request for
changing entity type Cost Ctr. assigned to you, you cannot make any changes.

Now, this is confusing - what should I do first, File Upload or Change Request???  Because when I try to create Change Request, I dont find any data that could be changed/updated/deleted. So far I am even unable to create a Change Request for creating new data (G/L, Cost Center, Cost Element...).

I am using default Data Model (0G) and I have confirmed that it is in ACTIVE state and that required Tables have also been generated. Can you suggest something, what configuration step or any any other prerequisite I'm missing???

Hi Hanif,

Before uploading data via File Upload, an appropriate Change Request must exist -> You should first work on your problem of not being able to create a Change Request.
Although some of the data is missing at the moment in your MDGF database, you should be able to create through NWBC all those Change Request Types, which haven't got the flag checked for "Single Object" in mdgimg configuration.

Cost Center upload: Values for, for example: Controlling Area, Company Code (also maybe some other required fields) must already exist in your MDGF, because however you will be able to create the Change Requests, you won't be able to upload new cost centers from a file.
Because when adding new cost centers via file upload, MDG checks whether all required fields are present and whether some of the attribute values are valid - already exist in MDGF -> You can't create/add a new cost center and the the same time create a new Controlling Area to which this cost center belongs.

If you use workflow WS75700040, you can upload data via file right after you create the Change Request (leave the CR with the status "Changes to Be Executed"). If you use another workflow, it might be necessary to approve the created Change Request to move it, to have the right status before you can File Upload data using this Change Request.

My test-case 1 (File Upload for Cost Center):
Before File Upload I have created a Change Request of type "0G_W003" (Cost Center - Single Processing), which has checkbox checked for "Single Object".
If I try to File Upload more than 1 cost center at once for example 2 I get the following error message: There is no suitable Change Request
From this I assumed the following: If you want to upload more data (more rows, more cost centers) at once (which you probably want), the Change Request you create can't be one with a flag "Single Object". You need to create a new Change Request Type in mdgimg without the flag "Single Object", with the entity "CCTR".
So I created a new Change Request Type without the "Single Object" property, for the entity "CCTR", with the workflow "WS75700040". Assigned the permissions for this new Change Request - workflow steps. I created a new Change Request in NWBC, selected no cost centers/didn't specify any objects.
I tried a file upload with 3 cost centers. After the upload successfully finished, the cost centers are added to the previously created Change Request, where they can be further processed/edited and approved.

MDGF has an own separate database where it stores its data. If you could add your missing data (Controlling Area, Company Code and others) directly into this database, not via NWBC (File Upload), then you should be able to finally load data from files via File Upload. I'm not sure if you can upload all data that you want and need via File Upload but you should definitely check whether you can first upload this essential data (Company, Currency, etc.) separately one be one, before you upload for example new cost centers which rely on that data.

I would love to hear more on this topic - about effective and fast initial load of data from all ERP systems into 1 central MDGF: how to cope with duplicates, mapping, how to save time, etc.

If you find out anything new and helpful please share it if you have the time, much appreciated.

Thanks for the clarifications, and appropraite explanations for the creation of change request for initial upload of data. I was of the view that Change Request was only required for change/deletion of data that is not correct. Now, I have successfully created a change request as you mentioned and I have also successed in uploading data - what a delightful moment was that

You suggestion was absolutely correct for Change Request... earlier I had tried 3 Change Request Types, 1 with Object Required checkbox selected,  2nd with Single Object checkbox selected and 3rd with both checkboxes selected. However, as per your suggestions I created new Change Request without selecting any checkboxes, assigned workflow WS75700040 and finally added the appropriate processors for Change Request Type and it worked absolutely fine.

While trying different options, I also changed "Validity of Edition" from Date Specific to Period Specific... not sure, how it impacted the Change Request.

Now, I am testing uploading different master data and assessing different statuses of Change Request Workflow. But Im surprized why MDGF requires 'File Upload' and why it does not provide any functionality to directly load data from ERP, particulartly in single ERP system environment.

My next focus would be on managing duplicates and replication of records as well.

Is there any better approach than loading MDG-F Data by File Upload? Does it effectively work for thousands of records?
