How to validate mandatory attachment in Post General Journal Entries app in SAP S/4HANA Cloud?

Hello,

In the application ‘Post General Journal Entries’, the user requires a validation or an indication that prompts the processor to attach a mandatory supporting document. If no attachment is provided, the system should display an error message preventing the posting.

We have analyzed this requirement and attempted to implement a validation rule; however, we did not find any option related to attachments for validation. Additionally, we explored potential BAdIs to achieve this functionality, but unfortunately, no suitable option was found for this scenario.

Practical options

Use the verification workflow as a process control
Route entries via Verify General Journal Entries and instruct processors to reject any entries without supporting evidence. Although not an automatic hard stop, this is the approved governance process within Cloud.SAP Learning-Defining How to Hold and Verify General Journal Entries

Audit for missing attachments and follow up

Use the Attachment API to check if a posted journal has attached files by calling API_CV_ATTACHMENT_SRV/GetAttachmentCount or by using GetAllOriginals to list attachments. This allows a simple check, such as in SAP Build Process Automation/BTP, which can notify the requester via email or create a follow-up task when no files are present.  

Know the limits of BAdIs and validations

The Manage Substitution/Validation Rules app cannot validate “has attachment.” It works only in the JE context. SAP Help Portal-Manage Substitution/Validation Rules
