Guided experiences are designed to simplify multi-step business processes by breaking them down into manageable and intuitive steps. Each step can be enriched with various types of content, including videos, documents, forms, tasks, UI cards, and apps to provide users with all the necessary information to complete each step. Steps can be classified as optional or mandatory, ensuring critical tasks are completed while allowing flexibility for other actions. Users don't need to worry about finishing all the steps at once as the progress is saved, enabling them to resume from where they left off. Guided experiences can be used for various complex processes such as parental leave, benefits enrolment, employee relocation, new hires onboarding or suppliers onboarding, training and enablement, and browsing and purchasing electronic equipment. The major enhancement in the October 2024 release is the ability to model guided processes directly in SAP Build Process Automation, bringing powerful process automation to your SAP Build projects. The following key aspects have been added:
The new ‘Guided Process’ artefact allows you to design and manage structured, multi-step processes within SAP Build Process Automation. This feature is perfect for creating more dynamic and reusable workflows.
Following the structure introduced for the wizard layout, ‘Guided Processes’ equally allow to create stages & steps within each stage. Additionally, these process steps can be designed to be sequential or parallel flows, allowing for both straightforward and complex workflows.

Note: with this release, only SAP Build Work Zone is supported as ‘Step UI’; meaning the step itself needs to designed via the Work Zone wizard layout editor (for example to add UI integration cards).
To create more sophisticated processes as basis for your guided experience, branches can be used to structure the overall guided process and duration checks can be incorporated via wait for duration to handle conditional starting of stages. Furthermore, subprocesses can be used to handle more complex requirements, such as retrieving hire date information.
Once the guided process is modelled, it can be deployed to SAP Build Work Zone as a wizard layout template, ensuring easy availability for end-users. This provides a seamless transition from process design to execution.
Note: the deployment to SAP Build Work Zone is performed on behalf of the logged-in user via the automatically created destination pointing to DWS as per the following guide.
This new ‘Guided Process’ artefact is only supported in shared environments, not in the default / public one. To learn more about shared environments in SAP Build, please refer to the following blog post.
In addition to modelling ‘wizard layouts’ directly in SAP Build Work Zone (which is now available via the “New Wizard” option)...

… it is now possible to select ‘Guided Processes’ modelled in SAP Build Process Automation as the underlying structure when creating guided experiences.
Users can now select one of previously deployed guided processes they have access to. These serve as the template the wizard layout within SAP Build Work Zone.
Note: While modelling & deploying guided processes via the SAP Build Lobby requires access to the ‘advanced user’ license in SAP Build Process Automation, that is not the case for consuming deployed processes. For doing so, the user requires the following permissions:
Note: creating wizard layouts based on ‘guided processes’ is currently released in preview environments of SAP Build Work Zone, advanced edition / SAP SuccessFactors Work Zone and will become available in the non-preview environments with the subsequent release.
When selecting a guided process, the wizard layout is automatically generated based on the process definition, saving time and ensuring consistency.
Just like with a manually-created one, you can customize guided process-based wizard layouts using different widgets and UI cards, providing flexibility in designing the user experience.
Note: Already in a previous release, UI cards have been enhanced to interact with wizard layouts in SAP Build Work Zone, for instance to enforce users taking certain actions. Details and code examples for such UI cards are available via our central SAP Build Work Zone GitHub sample repository.
When a user starts a wizard based on a guided process, an instance of that process is started automatically, allowing execution & resuming of the steps according to the defined process structure.

These innovations not only simplify process design and execution but also ensure that you can deploy efficient, scalable guided experiences tailored to your unique needs – bringing different capabilities from SAP Build together via a deeply integrated, end-to-end experience!
