Internal audit departments are challenged with the requirement to provide different audit reports to different stakeholders while making sure consistent standards and formats are being used.  SAP Audit Management delivers out-of-the-box audit report templates, which can be automatically generated in the Microsoft Word format. This blog will give you an illustrative guide on how to edit an existing Microsoft Word audit report template and save it as a new template. The technical prerequisites are listed in the Learn More section of the blog.


Starting with a Template

The XML template for audit reports is a structure document that allows you to define what kind of contents can appear in the audit report and whether they can be edited. For example, confidential audit reports can contain legal languages that cannot be changed by the user.

You can also add new containers or content controls, which can be textboxes, a date or other text fields, to the document. For example, if you want to add a company logo to the template, you can just simply insert a logo to the template.

To get started, you can launch Microsoft Word and go to File > New to create a blank document.

You can then click on the Developer tab.

Editing the Template

Using the XML Mapping Pane, select add new part from the Custom XML Part dropdown list to upload the audit report XML template.  The XML structure is displayed on the XML Mapping Pane.

Let’s go ahead and add a company logo by inserting a logo:

Save the file as a new audit report template in .docx.

You can add other new fields to the document simply by adding more content controls to the template. For example, if you insert a new TITLE field as a content control, it fetches the data entered as audit title from the system and shows in the generated document.

Uploading the New Template

You can upload the new template by running transaction SE80, select MIME Repository and navigate to the Word folder below.

Right-click the WORD folder and choose Import MIME Objects. Select and upload the template.

On the Create New Document screen, select Application-Specific MIME Object as the document class, enter a document name, and choose Save. The new template is now ready for the audit team to use.
