During the system onboarding process some mandatory steps have to be performed on customer side to set the systems live. This new section displays information about the onboarding project”  from the “System Setup” to “System go-live”, and tracks progress.

The Onboarding section is based on the executed SAP EarlyWatch Alert reports and it is now available for the SAP IBP product group. SAP S/4HANA Cloud and SAP BTP are planned to be added.

The section visualizes in the graph all six milestones for each pair of systems to be onboarded. It allows to closely monitor the progress of each milestone and easily identify areas that may need your attention. 

You can see more details to each milestone status by clicking on the appropriate segment of the graph. This detailed breakdown ensures that every aspect of the project implementation is transparent and accountable, facilitating more effective project management and decision-making. If the milestone rating is "Red" (Overdue) you can click on the link to navigate to the SAP EarlyWatch Alert report to check the required actions.

Rating of the milestones
There are 6 milestones to be processed for the onboarding:

  1. System Setup: the test system is newly set up, there are no real users yet in the system.
  2. Access Test System: the test system is starting to get used by customer users. There are at least two logons to the Excel Add-in in the test system within one week or at least 100 OData calls to the app „Planners Workspace“.
  3. Start Data Load: the test system usage increases. The app „Data Integration Jobs“ has at least 100 OData calls and the HANA index server memory utilization peaks at least 20% within one week.
  4. Access Prod System: the productive system starts to get used. There are at least two logons to the Excel Add-in within one week or at least 100 OData calls to the app „Planners Workspace“.
  5. Start Cut-Over: cut-over activities are executed from the test system to the productive system. There are at least 100 OData calls to the app „Import Software Collection“ in the productive system.
  6. System Go-Live: activity in the productive system increases significantly. There are at least 300 OData calls to either the app "Manage Search Models" or the "Cloud System Management App" within one week. Additionally, the number of OData calls to these apps must have increased by at least 150 times compared to the previous week, or there are at least 30 Excel Add-ins logins within one week, with logins increasing by at least 15 times compared to the previous week.

The milestone date provides the date of when each milestone was achieved on the respective system ID. SAP EWA calculates an average threshold how long a milestone can be processed overall and compare the threshold with the real duration. Based on this a  milestone will be rated as:

  • Reached (Green): the milestone has been successfully achieved.
  • Not Reached (Grey): the project is ongoing, the milestone is not yet reached, but still within the expected timeline.
  • Overdue (Red): the milestone was not reached within the estimated timeline. When at least one milestone is rated "Red" the whole project will be displayed as "Red" / Overdue.

The table below the graph provides an overview with additional details across all onboarding systems including Milestone Threshold,  Days since Previous Milestone, Project Rating and link to the SAP EarlyWatch Alert report. The table can be exported.

  • Milestone Threshold for the calculation of the  “Overdue” rating is calculated dynamically, ensuring that the least progressive 25% of customers are rated as “Overdue”.
  • Days since Previous Milestone represents the number of days between two consecutive milestone dates. Please note: If milestones are not reached in the sequential order, the "Days since Previous Milestone" will display a negative value.
  • Current Project Rating indicates the overall rating for the onboarding project :
    • In Progress: the onboarding project is ongoing, no milestone is rated as “Overdue”.
    • Completed: all six milestones have been successfully achieved.
    • Overdue: the estimated timeline for reaching one of the milestone was exceeded.  

To focus only on the critical projects you can use the filter "Current Project Rating" and select only projects with the "Overdue" status.

Please note: Due to the temporary restriction to just one product group (SAP IBP), this section is not displayed by default. Use the Personalization option in the top right of ‘Customer Insights’ dashboard to make it visible.
