Streamline Your License Management with SAM4U

Today, we'll explore a simple use case of analyzing consolidated data from your SAP backend system to provide insights into the number of users classified automatically during system metering or audit. These users are often assigned to the most expensive professional metric of your price list, generating high costs for the company. Manual user classification for on-premise systems is the key to proper SAP license entitlement consumption.

Preparation Steps:

  1. Install SAM4U Extractor: Install the SAM4U extractor in all SAP backend systems that are part of the consolidation (measurement plan).
  2. Extract and Upload Data: Extract data from the SAP backend and upload it to the SAM4U tool.

Once these steps are completed, you can examine the Classified/Dialog Users KPI:

The Classified/Dialog Users KPI shows you:

  • Licensed Users: The number of “seats” of different types purchased from SAP to cover SAP user IDs in your landscape. If the Licensed number is smaller than the Dialog number, as in our example, you have a license compliance gap. You can either clean your SAP backend systems (discussed in future blog posts) or purchase additional SAP licenses.
  • Dialog Users: The consolidated number of SAP user IDs across all systems in your SAP landscape.
  • Classified Users: The consolidated number of SAP user IDs manually classified in SAP backend systems. This means your SAP Basis team has set user classification via the SU01 transaction during user ID creation or mass classified users via the USMM2 transaction, for example.

Important: If the number of Classified users is smaller than Dialog users, it indicates that some users (the delta between Dialog and Classified 😊) are automatically classified and assigned the maximum license type, potentially leading to extra license costs. Manual classification of these users can result in significant savings!

By clicking on the Classified bar, you can view the list of all user IDs that are automatically classified, re-classify them, and improve your SAP license consumption.
