In SAP Analytics Cloud, you can now schedule story Table data in Excel format.  Here data would be exported in the Excel and delivered to the destination selected (email recipients).

Please note scheduling in the Excel format is available only while scheduling stories in Optimized View Mode or Story 2.0

When you are scheduling a publication in EXCEL format, you should select the Tables, whose data you wish to be exported in the Excel format. Within one publication (view) you can select maximum of five Tables, if you try to select more than five tables it will throw warning and will not allow you to create publication.

During selection it will list all the tables across different pages.
Schedule publication leverage manual export to Excel capabilities available the SAC stories at the table level, hence the data which you will get in the Excel using scheduling will be same as the one available in the manual export to EXCEL. It is good idea before scheduling, you can export the table data manually into EXCEL to validate your needs and review the data which would be exported during schedule time. Limitation available in the manual export to Excel will also be applicable in the schedule to Excel workflow.

While scheduling to EXCEL, the scope available is ALL only, point of view is not available.

Workflow
I have a story, who’s table data I would like to schedule in EXCEL format and deliverer to users over email.

Go to file and select schedule publication from the dropdown2.png

 Fill all the required data for scheduling such as mode, name, recurrence etc and under file type select Excel

By default, the first exportable table would be selected but if you wish to change this, you can go to file setting and select the table whose data you wish to export to Excel in the scheduling workflow.

In my example, I have selected the 3 tables whose data would be exported and delivered in the scheduling workflow.

In the table listing page, you can see pages and tables are listed and the tables are listed with their respective titles. The Excel file generated and delivered will have name as provided in the file name section and tab name will be same as the Table name with in excel file. Please note for each SAC table there will be two tabs created; one which will have actual data and the other one will have the details about the table whose data will be exported.

 Name of the zip file could be provided using the file name.

 When the schedule run, the zip file with the excel file will be delivered over the email to the recipients.

Hi,

I am creating publication on the Optimized story, but not able to see the Choose Mode option or Excel format. What could be the reason?

Can you confirm what release this functionality is available Q4 release ?

Also can you show how the unzipped file looks to the end user ?

Hello Russell, 

This feature is already available in Fast Track Tenant (Version: 2024.21.0) and in QRC tenant it will be available in QRC4.2024 which is tentatively planned in Nov end 2024.

I have 2 questions:

  1. I tried to use the Excel option on our fast track tenant with SAP BW live models, but I received Failed message. 
  2. Is it possible to get as unzipped file in the email? If not, is it planned in the future?

Hello @tuna_b,

You need to check if the connection setting for BW live connection has been done correctly, can you try to schedule to pdf format and check if it works for same story.

Yes, we will plan for unzip excel deliver over email

Hi 

 

An unzipped version would be great as my experience so far is that the excel file is very basic and looks like a csv file downloaded into excel.

The scheduling part works but there is no formatting which we used to have in BEX Broadcasting 

Please advise when unzipped will be available

Hi 

So in testing out the excel option I have noticed that scheduled excel reports do not out put the properties if a dimension that is included in the report. The report only shows the dimension but not the properties
