Two Powerful Options for Email Notifications

1. Seamless Integration with SAP Cloud ALM’s Built-in Service
  • Effortless Setup: No admin-level configuration required.
  • Professional Branding: Emails are sent under the name SAP Cloud ALM Notifications from the address sapcloudalm@notifications.sap.com.
  • Instant Activation: Start sending notifications immediately without any additional setup.
2. Leverage Your Own Email Infrastructure
  • Full Control: Use your own email server to customize the sender address.
  • Enhanced Security: Maintain control over your email infrastructure.
  • Simple Configuration: Set up an SMTP mail destination in your SAP BTP subaccount for SAP Cloud ALM. Follow the steps in Configuring an SMTP Mail Destination, and your notifications will be routed through your own server. 

Note: OAuth2 Client Credentials for Authentication supported as of now.

If that destination is configured, then the notification emails will only be sent via your own email server.

Empower Users with Activation of Email Notifications

No matter which method you choose, users have the power to tailor their notification preferences:

  • Opt-In Flexibility: Unlike in-app notifications, email notifications are opt-in, giving users complete control.
  • User-Specific Settings: Each user can individually select which types of notifications should trigger an email. Administrators cannot mass-activate these settings, ensuring personalized experiences.

How to Activate Email Notifications

1. Access Your Profile: Click on your user profile in the top-right corner of the SAP Cloud ALM launchpad.
2. Navigate to Settings: Choose Settings > Notifications.
3. Customize Your Preferences: Check the Email flags for the notification types you want to receive emails for.

Note: You can only select notification types that are relevant to you. For instance, if you’ve never been assigned to a task, you won’t see this notification type in the settings and can’t enable email notifications for it.

Following Notification Types are available (updated on May 16, 2025)

  • Defects: assigned to you (notification to defect responsible on assignment)

  • Defects: new comment (notification to defect responsible if new comment added)
  • Features: assigned to you (notification to feature responsible on assignment)
  • Features: Transport Checks Completed (notification to user who performed the check when completed)
  • Features: Transport of Copies Failed (notification to user who created the ToC in case of an error)
  • Projects: New updates (notification to project lead if SAP Activate Roadmap tasks were updated)
  • Requirements: assigned to you (notification to requirement responsible on assignment)
  • Requirements: assigned to you as involved party (notification to users added as involved party to a requirement)
  • Requirements: new comment (notification to requirement responsible if new comment added)
  • Tasks: assigned to you (notification to user story or project task responsible on assignment)
  • Tasks: assigned to you as involved party (notification to users added as involved party to a user story or project task)
  • Tasks: new comment (notification to user story or project task responsible if new comment added)
  • User management: open authorization requests (notification to user administrator in case of open authorization requests)
